For our client we are looking for a Office Coordinator

The Office Coordinator provides reception/hospitality and some administration support to the corporate office in Stockholm. Furthermore, the office coordinator ensures the smooth running and availability of our office to the employees, clients and other visitors.
This is an exciting and demanding role that requires the highest level of professionalism, with a flexible approach, working full time. The role is part of a wider team with peers in Norway, Copenhagen and a number of other countries across Continental Europe.

Key Responsibilities
• Welcome visitors and inform hosts that visitors have arrived
• Daily check of meeting rooms
• Ensure proper housekeeping (work spaces, meeting rooms, cleaning staff, etc.)
• Liaison with the landlord and other tenants of the building
• Ensure smooth operation of the Stockholm office in line with Standards
• Review expense reports
• Receive IT and Telecom equipment for distribution to associates
• Internally distribute emails from the general mail box to the right associates
• Organizing small company events for associates
• Support the IT department for video conference, printer, phone related issues
• Hand-out company equipment to employees, maintain and track inventory of allocated laptops, mobile telephones, etc.
• Ordering supplies for the office (eg. furniture, office supplies, cleaning items, coffee, groceries etc.)
• Upload of service provider invoices into accounts payable systems
• Coordinate the evacuation during and emergency
• Contract storage and administration
• Enforce Corporate Physical Security policies
• Proactively support company growth and process improvement initiatives
• Additional Ad hoc requests in line with the core service catalogue
• Print new/replacement ID cards for associates
• Enable/disable access cards to office

Required Skills & Experience
• Communication Skills: effective listening and speaking in Swedish and English
• Attitude: Can-do attitude and ability to thrive in a busy atmosphere.
• Presentation: Be credible and properly dressed
• Attention to Detail
• Leadership Skills: Influence office users to comply with policies.
• Vendor management: ensure that service suppliers deliver the agreed services on SLA
• Some Experience with contract management and negotiations and procurement
• Basic computer and IT skills

Desired
• An understanding of Swedisch / EU office health and safety requirements and process
• Experience working in a multi-cultural environment and flexibility to work with other European colleagues.
