Job Summary

This part time Facilities receptionist/administrator role, based in JDA's Stockholm office, will have responsibility for our office in Sweden and admin support for an office in Finland. It will require an multi lingual individual (Fluent English/Swedish a must, Finnish a bonus) reporting directly into the Facilities Manager for EMEA, based in Bracknell, UK.
The role will manage incoming calls for Sweden and Finland and general office administration, including equipment and supplies. Identifying inefficiencies in day-to-day operations and making recommendations for process improvements. Coordination of logistics for meetings and training sessions. Preparing and handling confidential and high priority communication, data and files. Providing a high level of customer service assistance to customers desiring contact with associates, managers and executives.
Excellent people skills are required (ability to work with people of different cultural background and levels in the organization).

Key Tasks

• First line contact for the Facilities Department for all internal and external customers and contractors.
Duties to include:
?Answering the phone
?Meeting and greeting clients and associates
?Booking and supporting meeting rooms
?Arranging lunches
?Sending couriers
?Franking mail
• Monitor the active jobs logged on the helpdesk tickets, resolve maintenance/repair tickets for the Sweden and Finland offices.
• To provide administrative support to enable the Facilities department to function effectively and efficiently.
• The issuing and cancellation of security passes to staff and contractors.
• Respond effectively to all telephone queries and complaints, using effective listening, questioning and problem-solving skills.
• Carry out regular checks of the Stockholm office, ensuring the building fabric is in good order, noting any defects and raising any work orders and follow ups for building repairs and maintenance - pro-active and reactive
• Assist the Facilities Manager to monitor service standards.
• Recommend to the Facilities Manager any improvements that could be made to the cleaning, engineering and security services.
• Liaise with building contractors to follow through on approved work.
• Assist the Facilities Manager in the compliance of existing Health and Safety policy, safe working practices and best practice.
• Manage and maintain stationery supplies for Sweden and Finland, whilst overseeing the stationery contractor.
• Assist where required with preparing and tendering contracts within the Facilities department ensuring commercial competitiveness.
• Stocktaking and ordering of kitchen supplies
• Updating company intranet Community pages for UK and remote offices
• Accurately maintain records relating to facilities matters
• Support various departments in Bracknell Head office with tasks such as the following:
?Accounting - invoices, tax documents, expenses forwarded and assist with translation
?IT - equipment for new starters and mobile phone contracts
?HR - new hire documentation, receiving back leavers collateral and translation
?Other ad hoc support for Marketing or any other department

Knowledge/Skills Required:

Essential
o Administrative experience
o Good Microsoft office applications (Word, Outlook, Excel)

Desirable
o Facilities admin experience
o Knowledge of Health and Safety procedures
