VI söker för kunds räkning en engelsk och finsktalande Facilities Assistant - Receptionist, med placering i centrala Stockholm

Tjänstebeskrivning

Job Responsibilities:

• Greet all staff entering the office and become familiar with who's who in order to acknowledge staff by name.
• Direct customer telephone queries to relevant webpage's.
• Respond to all facilities request from the users. Be first point of contact for office related matters
• Coordinate all maintenance, cleaning and other soft services within the office
• Provide coverage of reception area with a courteous, pleasant and professional presence, greeting and assisting all visitors.
• Manage the reception area, ensuring always tidy and professional at all times newspapers and magazines refreshed and fridge topped up on a daily basis.
• Ensure office intranet site is kept up to date.
• Locally coordinate the massage and manicure program
• Coordinate all internal Google events
• Arrange photographs for access badges
• Support department administration
• Ensure all incoming post is distributed correctly and in a prompt and timely fashion.
• Assist in keeping kitchens clean and tidy
• Process the invoices for services on site
• Handling the booking and maintenance of the conference rooms
• Ad hoc tasks as requested by the Services Manager.

Safety & Security
• Manage all requests for access card, programming and cancellations.
• Ensure all temporary and contractor access cards are returned promptly.
• Ensure all visitors display badges at all times.

Kvalifikationer
Key Competencies:

• Excellent communication skills. Fluent in Finnish and English
• Previous facilities/reception experience
• Ability to interact with all members within the company & handle a busy telephone and customer facing reception desk.
• Ability to handle multiple requests and work in a fast paced office environment.
• Ability to accurately complete tasks assignments & responsibilities in timely manor.
• Demonstrate a high level of initiative and be proactive.
• Dependable and flexible, able to work independently as well as part of a team.
• Responsiveness to customer requests/service issues.
• Well spoken.
• Knowledge of MS office packages.
• Knowledge of MAC OSX is preferred
