As an Administrative Assistant, you will join our team in the Stockholm office. You will be a part of the Investment Banking Administrative team, providing crucial support to our Country Coverage Bankers. This role requires experience in the investment banking sector and offers an opportunity to thrive in a global environment that fosters excellence, rewards high performance, and promotes professional growth.
Responsibilities
As an Administrative Assistant, your responsibilities will include:
• Manage diaries, organize internal/external meetings, and handle room bookings and catering.
• Arrange conference calls and video conferences, and establish effective communication with internal stakeholders, external clients, and their assistants.
• Develop relationships with external clients and their assistants, gaining knowledge of clients, transactions, and key individuals.
• Assist bankers with presentation preparation and handle sensitive and confidential information.
• Manage professional responses to telephone calls and take ownership of queries.
• Book and coordinate complex domestic and international business travel.
• Handle expenses using the Concur system and identify out-of-policy expenses.
• Manage invoices and expenses using the APPIAN system.
• Submit ARIBA requests for office stationary and IT accessories.
• File call reports using Insight and complete i-Track on a weekly basis.
• Capture relevant Deal Related Expenses (DRE).
• Manage banker time and attendance on a monthly basis.
• Handle email management, prioritize and respond as required.
• Understand internal systems such as Concur Smartforms/CRM.
• Track visiting bankers from other offices and process relevant access requests.
This role is as a consultant via Adecco and set to start within immedate affect and go on for initial 6 months. For the right candidate there are great possibilities for extension.
Requirements
To excel in this role, you should possess the following qualifications and skills:
• Excellent written and verbal communication skills at all levels.
• Proven secretarial experience, preferably in a Financial Services environment.
• Confidence in dealing with people internally and externally.
• Proactive approach and ability to work both independently and as a team player.
• Proficiency in MS Office.
• Experience using the Concur system.
• Attention to detail and strong numeracy skills.
• Proficient in English.
