About the position
We are looking for an Administrative Assistant for our client, an independent and important agency of the European Union. This position is based at their office based just north of central Stockholm.
Your daily tasks
As an administrative assistant, you play a key role in ensuring smooth daily operations and efficient workflows. Your tasks will include providing general administrative and secretarial support, managing incoming calls, mail, and documentation, and responding to inquiries with professionalism and discretion.
You will be responsible for drafting and finalizing correspondence, taking minutes during meetings, and coordinating appointments, business trips, and events-including all logistical preparations and follow-ups. Additionally, you will assist with financial documentation, such as processing orders and reimbursements, and contribute to the preparation of reports and statistics.
Your characteristics
As an administrative assistant, you should have a high sense of responsibility and the ability to take the initiative. Strong service orientation and excellent teamwork skills are essential, as well as the ability to communicate effectively at all levels, both internally and externally. You should be able to work under pressure, organize tasks efficiently, and prioritize accordingly.
Discretion and professionalism are crucial, especially when handling confidential information. A proactive mindset and adaptability will help you thrive in a fast-paced environment.

Qualifications:
Post-secondary education and relevant professional experience
Proven experience as an administrative assistant/secretary, preferable in a multicultural working environment
Excellent skills in preparing correspondence and other documentation
Good numerical skills
Good experience using spreadsheets, tables of figures and basic financial planning skills
Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
Excellent communication skills, both spoken and written
Contract type and hours
Full-time consulting assignment for 3 months. Start according to agreement.
