About the position
We are looking for an Administrative Assistant for our client, an independent and important agency of the European Union. The position is based at the client's office just north of Stockholm.
Your daily tasks
We are looking for a highly organized and detail-oriented Administrative Assistant to support the Facility Management Group. The group is responsible for maintaining the premises of the Centre, providing logistics services for operational activities and staff, maintaining the physical inventory, and ensuring security.
Key Responsibilities:
Support and monitor projects and activities of the Facilities Group, ensuring deadlines, implementation, and reporting are on track
Provide comprehensive administrative and organizational support to the team and management of the Facilities Group
Organize and coordinate internal and external meetings, including preparing agendas, transcribing minutes, and handling the reception of visitors
Manage documentation for briefings and publications, ensuring accuracy and timely distribution
Respond to queries and requests for information and documentation in a professional and timely manner
Perform any other tasks assigned by the supervisor
Your characteristics
In the role of Administrative Assistant, it's important to have a service-minded attitude and strong communication skills. Being service-minded means being proactive, approachable, and focused on meeting the needs of the team and others you support. Good communication skills are essential for effectively interacting with colleagues, handling inquiries, and ensuring clear, concise information is shared across the organization.

Qualifications:
High level of service orientation; excellent customer service focus
Attention to detail and accuracy
Excellent knowledge of Microsoft Office (Word, Excel, Power Point and Outlook) - with a focus on Excel
Excellent command of English, both written and spoken
Meritorious:
Preferably experience working in facility or building management
Preferably administrative experience in a multicultural environment
Contract type and hours
Full-time consulting assignment until 2024-12-31. Start as soon as possible.
