Due to increasing specific related medical affairs projects, the department of Medical Affairs at Janssen is currently recruiting an admin-support professional for a 12-months period with great possibility of extension. The main goal of this role is to support the group in managing, keeping track and coordinating research related projects, including assisting responsible Medical Affairs with administrative support on contracts, follow-up of process and payments.

Reporting to the Nordic Medical Affairs Director, you will work in close collaboration with the Medical Program Lead and Outcomes Research Manager.

Typical accountabilities would be, among others:

• Collecting reports after finalisation of project and handling documentation on share-point and in the CRM system (iConnect).
• Coordinating Educational/Research Grant applications and managing administration of these in the CRM system (iConnect).
• Communicating with investigators regarding administration around IIS:es (Investigator Initiated Study) and local trials
• Proactively following-up payments for Medical Affairs projects
• Helping to set up contracts that are not related to an event (such as purchase of data, consultant agreements etc)
• Entering event related data in iConnect
• Communication with Janssen?s travel booking system and coordination of logistics related to Ad Boards
• Administrative support to Medical Affairs leadership team:
o Taking minutes during Medical Affairs Leadership meetings and Research Related Activity review committee meetings
• Organization-chart updates
• Coordinating bookings and payments of flight tickets for external candidates
• Coordinating introduction programs and follow-up
• Order of computer, telephone, etc. for new employees (including flowers)
• Arranging internal meetings
• Handling recurring Teleconferences-bookings
• Setting up department WebEx/TC on ad hoc basis
• Medical review lists for Regulatory ? updates and vacation back-up duty
• MICS (Medical Information and Customer Service department) support lists ? updates and vacation back-up duty
• Clean up on internal Medical Affairs homepage

We are looking for candidates who have a pro-active attitude and like to work in a team. We are mostly interested in candidates who have experience of working on an administrative position, and are familiar with the medical language (a Medical Secretary background is very interesting!). You work with precision and have the ability to organize and prioritise activities in an efficient way. You set and keep deadlines and have the ability to be flexible when emergency situations requires it. You are proficient in common computer programs (Microsoft Office and others) and are able to assess new technological tools to improve work efficiency. You are structured, quality oriented, and service-minded.
