Portfolio management and Order office
• Project Portfolio management and Order Office manage the project governance to ensure VGT prioritization, intake of new assignments and execution of running programs and projects through a robust structure including a project pulse approach
• The main task is to have a visible, transparent Project Portfolio aligned in priority with the VGT strategy and related Product roadmaps. This is done through the Order office to proactive manage the in-flow of assignments to the correct portfolio where the cost estimations and initiations are done.
• In addition, to secure each project within respective portfolio to be executed accordingly to requirements to meet the related KPI's including relevant reporting.
• Project Portfolio Management & Order Office is as well responsible to keep an "up to date" view on the Demand vs. Capacity view as a main input to the Prioritizations and VGT Workforce plan.

We are now looking for an Order Office functional manager

Main responsibilities define as:
• Secure a transparent, available and known project status report
• Manage monthly follow-up on actuals vs plan for Volvo Group projects, (including reporting deviations)
• Close co-operation with VGT business controller
• Monthly follow-up on actuals vs. planned on the total Project Portfolio
• Manage and consolidate VGT input to the Volvo Group yearly budget process
• Support timely and correct estimates in early project phases
• Support and educate Portfolio managers and Project managers globally
• Support and educate Portfolio managers and Project managers globally in cost and invoice follow up, using SAP VBP and VRP
• Plan and update Product Modification Request (PMR) portfolio and Project Initiatives (PI) on a monthly basis in related systems (SCORE, Planview etc.)
• WBS administration and invoice know-how
• Manage the input of the project demand vs. capacity to line organization and give regular updates to the workforce plan
• Manage the VGT Order office network and related process
• Manage the Order Office consolidation and reporting on behalf of VGT and support VGT priorities
• Work in close cooperation and coordination with the development organization (both in VGT and related peers) and other stakeholders to ensure valid and anchored project and program financial follow-up.
• As the Order Office functional manager you will report to the Manager of the Project Portfolio Management & Order Office.

This position requires:
• A university degree Economics/Business Administration or equivalent
• Experience of financial management leadership
• Experience working in a global & cross functional environment, a fast pace with a flexible and adaptable approach are valued.
• Proven ability to communicate effectively with peers and management at all levels
• Strong change and communication skills.
• Strong SAP experience - VRP, VBP and SCORE are valued
• Experience in cost calculation and business case development
• Expert level skills in Excel and PowerPoint; intermediate skills in other Microsoft Office products
• Analytical, thorough and have an eye for details as well as the overall picture
• Self-reliance, task/result orientation, time management, work under pressure, ability to learn on the fly are desired assets
• Proven ability to prioritize and work effectively on multiple tasks
• Have capacity to execute against set targets and a "can do" attitude
• Fluent in English and Swedish - both written and spoken
