The role of the Operations Executive is a diverse and varied role which involves the planning and execution of shipment orders from initial order placement through to the physical preparation of shipments prior to dispatch to the airport through the highest level of customer service offerings and operational capabilities.
Shift Pattern:
07:00-15:30.
08:00-16:30. (Most of the days, but could rotate)
09:30 to 18:00
The holder of this position may perform the following tasks:
To ensure that all duties are carried out in a correct, timely and cost-effective manner
To ensure all shipments are sent in the most reliable and efficient manner and that the needs of other World Courier offices involved are considered
Ensure customers receive the maximum in customer service and service quality
Ensure all guidelines i.e. transport, customs, quality etc. are adhered to in their daily duties.
Ensure any Ops training / re-training is completed in a timely manner
Book shipments with airlines and pre-advise other World Courier offices
Preparation of shipments for export. Ensure correct packaging, labelling, paperwork is in place
Preparation of documents and/or electronic submissions including calculations of taxes/duties
Customs clear electronically all shipments originating from and destined for countries outside of the EU. Ensure that customs procedures are adhered to in line with local customs authority
Select the appropriate route based on all information at hand and estimate the transit time. This is to be communicated to the customer
Assign drivers to make collections/ deliveries
Update / edit TMS as changes occur.
Enter all pertinent information i.e. Special Delivery Instructions, Special Pickup Instructions, Extra Charges etc. into TMS
Monitor all outbound jobs during transport
Utilize technologies available to the full
Where there are temp control shipments, select the most appropriate and effective cold chain solution.
Ensure deviation portal is monitored and actioned in a timely manner.
Ensure our Quality objectives are met, namely improving KPIs, ensuring event notes are analysed/addressed and QA receive information required to complete CAPA reports within 28 days. Ensure CAPA actions are implemented
Maintain relationships with Contractors / Airlines (booking & handling) / Govt Agencies / Customs Officials / Vets and Suppliers. This list is not exhaustive
To assist Sales with any operational queries and to offer guidance if necessary.
To identify areas of improvement and inform the Manager. Should also inform the Team Leader / Supervisor / Manager if there are any concerns or problems within the office
