About the role
In this role you will have accountability to ensure the Notified Body Medical Certificates are coordinated according to plans, the activities in Operations are allocated, managed, and delivered according to plans and management of new and existing clients and ensures that these are fulfilled.
You will be responsible for the operation coordination processes, ensuring processes are compliant with regulatory requirements and successfully pass internal and external audits and inspections. You will provide related support functions such as project support, administrative paperwork, and database maintenance, including allocation of assignments within the Operation Team.
Example of responsibilities:
• Responsible for the issuance, withdrawal, suspension, reinstatement, and transfer of clients' MDD, ISO13485, and MDR certificates
• Develop, review, and propose improvements to internal processes
• Schedule and allocate work to Operations team as required with a minimum of three months in advance, monitor completion and ensure Operations employees are fully utilized
• Ensure our systems iEnable and Steady Point are up to date with correct client information
• Handle incoming changes and register these tasks for further actions in the organisation
• Customer care and management of existing agreements
• Invoice clients timely and accurately as per current price list, prepare weekly billing forecasts
• Maintain all tools including scheduling, forecasting, invoicing, accruals, systems, mailboxes and client folders, and ensure each are updated frequently, accurately and before deadlines
• Responsible for fulfilling KPIs related to role
• Ensure Independent Reviewers and Certification Authorities are fully utilized
• Responsible for compiling and tracking data
• Monitor all certification activities
• Responsible for flagging compliance issues early related to areas of responsibility, to ensure preventive actions are taken
• Communicate with clients professionally and in line with Intertek's values, on an ongoing basis
• Involvement in other ad hoc tasks, when required
The role is full time.
Who are you?
• Experience of managing your own workload and operating with minimal supervision
• Experience of working in a regulated environment; handle multiple administrative tasks simultaneously
• Experience of working in a high pressure environment with constantly changing priorities
• Proficiency in MS Office Suite
• Fluent in English and Swedish, written and spoken
• Ability to work closely with colleagues and clients and builds trust in relationships and shows respect for others
• Operates ethically with a good degree of professional integrity
• Excellent Time Management Skills: Ability to prioritize organize and follows through on multiple tasks - strong organization skills mandatory

You take ownership and accountability for delivering results and have a proactive approach to job challenges. Your ability to process information quickly and concentrate for long periods of time helps you navigate through identifying the key challenges in complex situations and adapt to business commitments.
