1 Place of work

2 Working days and hours
(1) Five working days per week (Embassy's office hours: 9:00-17:00 from Monday to Friday).
(2) Lunch break is from 12:30 to 13:30.
3 Contract period
(1) From 11th December 2017 to the end of December 2018 with possible extension (This is a maternity leave cover position).
4 Main expected assignments
(1) Secretarial work such as:
• Maintaining Ambassador's schedule including arranging appointments, business trips, registration for outside meetings/seminars etc.
• Assisting arranging a lunch and dinner at Ambassador's residence
• Taking care of visitors at the Embassy
• Handling outgoing or incoming correspondence (telephone calls, e-mails, letters, etc.)
• Maintaining electronic and paper records ensuring information is organized and easily accessible
• Conducting research and prepare a summary report as assigned
• Other necessary assistant work for Embassy executives
(2) General assistance for the Protocol section.
5 Salary
The salary will be decided based on the candidate's qualifications and expertise.
6 Qualifications
(1) In-depth knowledge of administrative work
(2) Excellent organizational and time-management skills
(3) Good communication and team-work skills
(4) Strong language skills in English and Swedish
(5) Basic knowledge on Microsoft Office (Word, Excel, and PowerPoint).
7 Application
Required application documents include:
(1) A brief resume or CV.
(2) A statement of purpose (within A4 1 page) describing how the applicant is qualified for working at the Embassy.
(3) A copy of the passport including the identification page.
(4) (for non-Swedish applicants) A copy of the working permit.

The applicants who pass the first screening of the submitted documents will be called for an interview in the middle of November at the Embassy of Japan in Sweden. The final result is expected to be communicated only to the candidate who passes the interview.
