The role
The Administrative Coordinator is responsible for all administration topics and additionally for supporting the Country Manager Sweden. The Position is located in the Swedish Head Office in Limhamn, Sweden. Sweden belongs to the Northern European Market, which consists of the markets Sweden, Norway, Denmark, Finland, Baltic States and DF Scandinavia.
The position reports to the Country Manager Sweden, and cooperates internally with Sales and Marketing, and externally with service providers and partners in business.

Purpose Statement
The purpose of the Administrative Coordinator role is to assist the market Sweden in terms of Sales and Marketing, Human Resources and Finance matters.
Sales and Marketing related responsibilities are to create and update Sales and Marketing related reporting and sales system update.
Finance wise the role is to prepare and provide accurate, and timely, information to the external accounting company and handle finance related internal documentation and reporting.
In terms of Human Resources administrative topics, the responsibility is to administrate personnel salaries, expense reports, travelling and other personnel related matters.

Key responsibilities

Sales and Marketing
BIOS CRM database update
Administration of tasks related to sales force, i.e. declaration, car mileage, booking of hotel, flights and travels, reports and car insurance
Trade systems updates (Validoo, Exder, ICA Lev Net, Reitan, Axfood, Preem)
Sales and stock keeping inventory reports
Materials to sales force
Handling of incoming and outgoing promotional material
Supporting internal, consumer and trade events

Finance
Supporting Country Manager in all financial related topics
Providing information and documents to accounting company
Handling accounts for receivables/payables, administrating invoices, payment and inventory balance
Managing bank administrative tasks, bank transactions and payment of invoices and salaries
Responsible for expense report, administration of credit cards and insurance, leasing agreements and filing of contracts
Stock control and ordering shipments of goods and samples
Responsible for web shop stock

Human Resources
Payroll preparation (personal information, contracts etc) and transferring of salaries to external payroll provider
Conversion of contracts
Entry/exit process
Organise Laptop (IT set-up), mobile phones, working place etc
Filing of contracts and documents

Professional experience and specific skill requirements
General business administration know-how
Familiar with the Swedish System/Regulations
Basic HR admin / HR payroll know-how

Required level of Education and Professional Experience
General commercial education
At least 3-5 years of experience in administrative task.

Language
You are fluent in English and Swedish language, spoken and written.
