Administrative Officer to European Centre for Disease Prevention and Control

Work Description
We are searching for a Administrative Officer for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.

Task:
The person shall be requested to perform various tasks including:
• Responsible for the weekly Senior Management Team Meetings, including coordination and preparation of documents, minute-taking and follow-up of decisions
• Drafting information notes for ECDC's Advisory Forum and Management Board drafting Flash Reports summarising key indicators/key points from Management Board meetings
• Coordinate Declarations of Interest for members of Management Board and Advisory Forum, as well as ECDC experts
• Provide administrative support and briefings to senior management
• Organise and monitor projects and activities and follow up on deadlines, implementation and reporting
• Organise and coordinate internal and external meetings , preparing agendas, transcribing minutes, reception of visitors
• Manage documentation for briefings and publications
• Respond to queries and request for information and documentation with a high level of service attitude, tact, discretion and confidentiality
• Perform various other administrative tasks as deemed necessary.

You will get an employment as a consultant with Manpower. The assignment is to start as soon as possible until last of March with possible extension up to the total length of 12 months. The role is for full-time.

Competences and experience
These specific competences and experience are required for the current assignment:
• Experience in giving support to high and upper management
• Well-developed sense of diplomacy, tact, discretion and confidentiality
• Excellent communication skills, both oral and written, strong interpersonal skills and ability to interact with people of all levels in an organisation
• Excellent organisational skills and ability to work independently and ability to work in a team and to take initiative
• Excellent editing and drafting skills as well as ability to quickly get an understanding of technical documents (i.e. concerning operational content)
• Education at university level or other relevant post-secondary education, and relevant professional experience
• Excellent command of English; oral and written
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent skills in managing documentation, preparing correspondence and other documentation
