About the position
As a Document Controller, you will be responsible for managing the daily document management processes for the project, ensuring timely, high-quality, and safe documentation. Your role will involve guiding, controlling, and monitoring stakeholders through various engineering, construction, and handover phases. You will implement, maintain, and communicate a structured approach to document management, ensuring that all documentation meets the necessary standards and compliance requirements.
You will collaborate with the PMO team, engineering management and partners, project management, construction teams, contract management, QHSE departments, finance, OEMs, contractors, and procurement.
Main responsibilities
Document Control Processes: Maintain document control processes, mandates, and responsibilities. Advise, guide, and participate in document control activities throughout the project.
Standards and Compliance: Ensure that all documentation complies with established standards and includes the required information and metadata.
Workflow Administration: Plan, set up, and track workflows in line with agreed procedures, approval levels, and mandates.
Template Management: Administer project document templates in M-Files. Edit, add, or remove Project templates as needed.
M-Files Key User: Manage M-Files project user accounts and groups. Set up HUBs for suppliers, register suppliers, and manage supplier access. Create and manage new object types such as work IDs, organizations, and individuals.
Daily Administration and User Support: Provide daily administration, support, and helpdesk functions for the project team and suppliers. Collect questions and answers (Q&A) and ensure updated instructions and guidelines are readily available.
M-Files Training: Create and update training plans. Coordinate and conduct user training sessions for project teams, suppliers, and other stakeholders. Administer attendance tracking and reporting for training sessions.

Achievements and Goals
Ensure required document control levels and process compliance.
Implement and monitor document control processes within the project.
Ensure that deliverables and internal documents are reviewed and approved as required.
Standardize document and information templates.
Ensure availability of project documentation to functional departments (EMO, QHSE), engineering partners, OEMs, and contractors.
Promote best practices in document management and continuous learning within the team.

About You
Education: Degree in Engineering, Project Management, Business & Administration, or a related field.
Experience: Proven experience in document management, control, processes, and administration.
Proficiency: Strong knowledge of M-Files and document control systems.
Skills: Strong communication skills with the ability to build relationships internally and externally. Excellent analytical, organizational, and systematical abilities. Accountable, persuasive, and receptive.
