Secretary to European Centre for Disease Prevention and Control
Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.
Task:
The person shall be requested to perform various tasks including:
• Provide general administrative and secretarial assistance and support the Unit's processes and work flows
• Receive and process incoming calls, mail and documentation
• Organize and co-ordinate appointments, missions and meetings including logistics, documentation and follow-up
• Respond to queries and request for information with a high level of service, tact, discretion and confidentiality
• Draft and finalise correspondence and other documents, taking notes at meetings
• Manage electronic and paper documents (contract lists, mailing, typing, photocopying, scanning, filing and archiving)
• Perform any other task assigned by the supervisor
• Provide general secretarial support to the section including coordination of calendars, setting up of meetings, tele/video conferences.
• Preparation and coordination of mission orders/travel claims as well as assistance with financial matters
• Provide secretarial and logistic support for meetings including initiation of financial processes, request for services through our meetings department, logistics, taking minutes.
You will get an employment as a consultant with Manpower. The assignment is to start in the beginning of December until last of March with possible extension up to the total length of 12 months. The role is for full-time.
Competences and experience
These specific competences and experience are required for the current assignment:
• Excellent communication skills and ability to work independently as well as in a team
• Experience in organising meetings
• Experience in providing general secretarial support to teams, ideally in multicultural environment
• Post-secondary education
• Excellent command of English; oral and written
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent skills in preparing correspondence and other documentation and experience in organizing meetings
• Proven experience as an administrative assistant/secretary, preferably in a multicultural working environment
• High level of service attitude, tact, discretion and confidentiality
• Ability to work under pressure and experience in organizing work and prioritizing accordingly.
