Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.
Task:
* Provide general administrative and secretarial assistance and support the Unit 's process and work flows.
* Receive and process incoming calls, mail and documentation.
* Organise and co-ordinate appointments, missions and meetings including logistics, documentation and follow-up
* Respond to queries and request for information with a high level of service attitude, tact, discretion and confidentiality
* Draft and finalise correspondence and other documents taking notes at meetings
* Manage electronic and paper documents (contact lists, mailing, typing, photocopying, scanning, filling and archiving
* Perform any other task assigned by the supervisor
* Provide administrative support to the procurement section
* Administer correspondence and notifications to tenderers and contractors
* Manage electronic and paper documents, scan, file, archive, register contracts in the registration system
* Organizing internal and external meetings, arranging business trips and travel claims, following up on invitations and reimbursements with external participants (non EU countries)
* General administrative tasks: drafting letters, editing documents
* Support to the International Relations Officers managing external grants, including financial monitoring
You will get an employment as a consultant with Manpower. The assignment is to start 1 June 2017 until end of April 2017 with possible extension up to the total length of 12 months. The role is for full-time.
Competences and experience
These specific competences and experience are required for the current assignment:
* Post-secondary education and relevant professional experience
* Proven experience as an administrative assistant/secretary, preferably in a multicultural environment
* Excellent skills in preparing correspondence and other documentation
* Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
* Excellent command of English; oral and written
* High level of responsibility and ability to take initiative
* High level of service orientation
* Ability to work under pressure and experience in organizing work and prioritizing accordingly.
* Ability to communicate efficiently at all levels internally/externally and in a appropriate manner
* Excellent ability to work in a team
* High level of discretion and ability to handle confidential matters
* Experience in working with non EU countries
* Excellent communication skills, both oral and written, ability to interact with people of all levels in an organisation with tact, discretion and strong sense of confidentiality.
* Knowledge of EU procedures including financing and procurement
