Reporting to the Programme Director, the Budget & Finance Coordinator will be responsible for all finance and administration aspects of the Programme, in coordination with the Budget & Finance assistants and in liaison with the SIPRI's administrative department. The Budget & Finance Coordinator will supervise 1-2 other team members with administrative and financial responsibilities. The position is based in Stockholm but might involve occasional travel to West Africa.
Main tasks and responsibilities
• Establish and coordinate the financial and administrative systems, routines, and procedures for a growing regional programme;
• Manage and supervise the work of other team members involved in finance and budget activities.
• Ensure all projects are operating within a sound financial and administrative environment that meets donor requirements;
• Monitor and report on the overall budget including drafting budget proposals and explanatory notes for sponsors and partners;
• Serve as the main point of contact on financial and contractual issues with donors, partners and subcontractors;
• Lead the preparation of all audits, in liaison with other Budget & Finance Assistants and local partners;
• Support the Programme's partners' capacity building in relevant fields (finances, organizational audits, administrative routines, international accounting procedures);
• Support the Programme's fundraising strategy (proposal and grant writing).
• Work effectively across multiple projects, budgets and timelines, coordinating with relevant finance and research staff;
Requirements
The successful candidate will have the following experience and skills:
• A university degree or degrees at Master level in disciplines and topics relevant to this post (accounting, finance etc.)
• Five years of finance coordination;
• A past solid experience in elaborating budgets and a proven knowledge of international procedures (accounting, monitoring, reporting);
• A flexible ability to liaise with research staff and adapt budgets to fit developing project components, with appropriate reporting procedures;
• Fluency, both spoken and written, in English and French;
• Attention to detail;
• Ability to work independently and as part of a team.
Previous staff supervision experience and previous working experience in Africa and/or with African civil society organizations will be considered an asset.
