The assistant is a team player and loves the challenges our high pace and result oriented environment brings. The tasks require an outgoing profile and an excellent service mind. As assistant you support both the VP Logistics and VP Quality & Environment and their teams in their daily operations. It is a social job with an intellectual challenge and you are a part of the management team.
This position is located in VLH, Lundby, Gothenburg.
What we absolutely need you to do:
• Coordinate and organize the manager's calendars and conferences/events
• Coordinate management meetings which include travel arrangements, agenda planning and being the liaison between all participants. Be part of the management teams and contribute to a good teamwork. Records minutes if needed
• Creating various kinds of documents and presentations
• Mail administration, supervise and answer mail and alert the direct manager on urgent and important issues when applicable
• Search, collect data and compile reports, follow up plans and activities
• Economics; invoice handling, time reports, traveling expenses, order handling
• Continuously improve administrative routines
• Drive and coordinate projects and programs related to business operations or communication, and take active part of the network of VP's assistants

To be successful in this position you need to be service minded, have a proactive focus and enjoy the challenges of supporting top-level managers. You need to have the ability to organize; structure and prioritize a wide range of administrative issues in an efficient way.
The job requires that you have a high level of integrity; you need to feel comfortable in working independently and you will be working in a high pace international environment that requires you to be very well organized, have excellent communication and networking skills.
We are looking for you with the following skills & experience:
• Ability to organize, structure and prioritize a wide range of tasks in an efficient way
• Inclusive person and an active team player
• Knowledge of Volvo organization and administrative routines
• Excellent IT skills and ability to learn and use new IT tools and methods
• Communicative, with excellent written and verbal communication skills
• Fluent in English, written and spoken. Skills in Swedish & French is a plus
