Do you have a proven track record as an Administrator, excellent organisational skills and the ability to multi-task effortlessly? This is an opportunity to take on a fast paced and varied role in Early Clinical Development (ECD) as an Administrator within the Strategic Planning and Operations (SPO) department. We are looking for someone with high standards, enthusiasm, and a passion for learning, together with a proactive approach.
As a Administrator you will report to the Enablement Leader, Strategic Planning and Operations in Early Clinical Development and will support senior line managers within our departments as well as requests from our wider organisation.
Strategic Planning and Operations is a critical department responsible for managing a wide range of "Manage the Business" activities on behalf of the Early Clinical Development. Strategic Planning and Operations provides Enablement support for ECD along with aggregating all head count tracking, timecard data and performance information including the internal scorecard.
ECD is a dedicated clinical scientific resource for AstraZeneca's early development portfolio, which provides a translational medicine capability to rapidly understand the disease target and the potential of our candidate drugs in humans. We enable translational medicine by: human target validation earlier in research, optimisation of the clinical trial process, integration of multiple, relevant data sources to better inform investment decisions, and timely scientific insights gathered and shared more broadly across AstraZeneca. We work in close collaboration with early development project team colleagues and relevant external experts to develop biomarkers and new methodologies, to plan, conduct and report clinical studies from healthy volunteers to Phase IIb.
This is a full time fixed term position based in Gothenburg, Sweden.
Main Duties and Responsibilities
Working globally across different time zones, your focus will be on providing high quality and professional administration support to the leaders you support as well as the wider community via a shared admin mailbox. You will become an expert user across key business systems and tools and provide a professional point of contact for the organisation. Activities include:
* Diary management for senior line manager(s), using MS Outlook
* Retrieving shared admin mailbox requests for support to ensure priorities are dealt with in a timely manner
* Co-ordinating travel arrangements, both UK and abroad consisting of flights, accommodation, airport transportation, car bookings, trains etc
* Organising internal/ external meetings including room bookings and catering arrangements as required
* Co-ordinating global conference calls / video conference calls (i.e. managing the different time zones, organising appropriate technology set up)
* Collating and processing of expense claims
* Preparing documents using templates, this will also include presentation materials
* Filing and scanning project correspondence
Essential Requirements
* Proven experience as an Administrator
* Excellent verbal, written and organisational skills
* Demonstrated ability to multi-task handling various tasks simultaneously
* A professional and proactive approach, with the ability to manage requests from an array of customer groups
* Demonstrate attention to detail, working consistently to high standards
* Track record of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations.
* Solid communication and relationship-building skills
* Sensitivity to highly confidential information
* Strong proficiency with all Microsoft Office web-based programs
Desirable Requirements
* Experience in providing admin support and diary management to senior leaders
* Experience of working in a global organisation; with the ability to work across boundaries and different cultures
* Champion of efficient and effective processes
* Knowledge of SharePoint Online, Skype, Concur and iBuy
