Job description
Perido is now looking for an Administrative Assistant for our client, an independent and important agency of the European Union. This position is placed at their office in Solna.
As an Administrative Assistant you will take on a wide and exciting role. Your workday offers various administrative tasks and responsibilities including coordinating the section's activity calendar, mailbox, internal meetings, incoming and outgoing requests for information as well as documents for approval and signature. In addition to this, you will draft routine correspondence, send replies, register documents and coordinate documents for approval and signature.
Furthermore you will be responsible for the internal meeting service. This includes coordinate meeting participants, handle the budget of meetings and requests for services and goods. In addition to this, you will also be present for the actual events and meetings to make sure that everything runs smoothly (for example handle meeting material and make the arrangements of the facilities etc.).
To be successful and enjoy this role you need organizational and administrative skills. Basic knowledge of procurement/financial workflows and EU procedures is favorable. We believe that you have an eye for details and accuracy, make suggestions and improvements and take initiative in your work. The ability to work under pressure and prioritizing your work accordingly, as well as manage responsibilities with a high level of discretion while handling confidential information is essential in this role. We believe that you have an excellent service mindset, the capability to communicate efficiently at all levels internally as well as externally and excellent ability to work in a team. Since you will work with a variety of customers, it is essential to meet them with confidentiality, diplomacy and tact.

Required qualifications
• Post-secondary education and relevant professional experience
• Proven experience as an administrative assistant/secretary, preferably in a multicultural working environment
• Excellent skills in preparing correspondence and other documentation
• Good numerical skills
• Good experience using spreadsheets, tables of figures and basic financial planning skills
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent communication skills in English, both oral and written
Contract type and hours
Full time assignment, starting immediately. Until 31 of March 2020 with possible extension.
