Office Manager / Administrator
A leading Global Technology and IT Enterprise, comprising of +60,000 professionals of diverse nationalities in 26 countries. A number of clients and partners belong to the leading Fortune 1000 firms.
The company is currently searching for an Office Manager / Administrator, to their Stockholm Office (Hötorget) to join their team. The position is for a fixed term of 12 months, thereafter a performance evaluation will be conducted and a permanent employment will be considered.
Job description for the position:
In charge of overseeing Facilities and office administration, whereof the following work tasks are among the main duties and responsibilities:
• Handle inbound and outbound telephone calls, emails, post and courier deliveries for customers and employees of the client.
• Responsible to monitor and process invoices for payment, liaising with the finance function.
• Manage and dispatch supporting documents as part of the expense claim process in a timely manner.
• Facility Management:
• Monitor external contracts and ensuring all are up to standard such as cleaners and other office providers etc
• Ensure stationary, supplies for kitchen and office supplies levels are available and re-order when needed.
• Manage office and conference room bookings and ensure that office and meeting rooms are tidy, clean and presentable.
• Deal and negotiate with external suppliers and vendors (car leasing, telephony (fixed/mobile etc).
• Order local conveyance (cabs etc), arrange Accommodation (hotel/guest house) for the clients employees. Monitor correct records, and send monthly recovery reports.
• Administer part of the Work Permit Process for expatriates.
• Liaise with employees, answering their queries and coordinating with various internal managers and departments.
• Assisting Marketing, Sales and HR departments with scanning/copying and preparing documents.
• Organise internal/external meetings and events.
• Any other administrative tasks that may be given from time to time.
Skills, Experience and Qualification Required for the Position:
• Good Swedish and English Language communication (written/spoken)
• Positive attitude and highly service minded (though with the ability to say no)
• Ability to manage working in an international and busy environment
• Very good organization skills
• Previous experience of office administration.
• Preferably some international experience (travel/work etc)
