Job description
We are looking for an Office Coordinator for one of our clients located in Gamla stan, Stockholm. This is a wide-ranging role involving mostly facility management assistance and administrative functions and is key to the proper functioning of the company and it's relations to it's employees, customers and service providers.

Daily duties:
• Meeting and greeting visitors in a prompt manner and advising hosts of guest arrival. Answering telephones and replying messages.
• Oversee maintenance of all office equipment and furniture incl. air con, alarm, telephones, bathroom, etc.
• Negotiation with office related suppliers, owning the relationship, supervising the services, attesting invoices, etc.
• Liaison with cleaners to ensure a high standard of cleanliness is maintained throughout the building.
• Liaison with the landlords to highlight any building issues which arise, monitoring this through to completion.
• Manage the postal and courier services to ensure the best possible, cost effective, service is obtained.
• Arrange and coordinate company events and travel bookings using external parties where appropriate.
• Ensure all incoming invoices and business expenses are appropriately processed and passed to the company Accountant in a diligent manner.
• Undertake any other ad-hoc projects.

You will get an employment as a consultant with Manpower for this position. The contract is part-time and to be started immediately. For the right person there is a chance to get an employment directly with the company.

Background
At least 2-3 years of experience in an office environment delivering soft facilities management services and administrative/receptionist functions in a middle sized company. Written and spoken English and Swedish is a requirement as well as good working knowledge of Word, Excel, email and Internet search and navigation is required.
Any additional European language is a plus.

As a person you have excellent interpersonal skills, with a professional, friendly and positive outlook. Strong problem solving, multitasking skills and open-minded, with a methodical and proactive approach. Able to work autonomously with minimal supervision.
