POSITION DESCRIPTION
JOB TITLE: Lead Specialist Document Management
JOB CLASSIFICATION: ODOM10

STATUS: Fulltime Position
PURPOSE OF THE ROLE
The purpose of the role is manage and be responsible for the full documentation flow process inassigned projects and act as the interface towards the client and authorities in relation to the delivery of project documentation.
PRIMARY REPORTING AND DELEGATION RELATIONSHIPS
This position reports directly to the Document Management Lead and the Project Management and liaises with various personnel within the organization in Gothenburg and globally, as well as external stakeholders and bodies.
RESPONSIBILITIES AND TASKS
• Manage and be responsible for the full documentation flow process within assigned projects
Including but not limited to:
o Establish and initiate the documentation process for assigned projects whilst ensuring alignment with GVA standard document control procedures.
o Prepare project-specific processes and procedures where necessary.
o Compile comments and maintain records of project documents.
o Manage the revision procedure.
o Prepare transmittals and distribute them to client and external stakeholders.
o Ensure all documents are uniform and produced in adherence to established processes
o Record and track status of deliverables.
• Establish and maintain Master Document Register
• Monitor the budget and the hours available for Document Control in assigned projects.
• Develop procedures and identify improvement opportunities within the Document Control department.
• Follow GVA's Management System (policies, procedures, work instructions).
QUALIFICATIONS AND EXPERIENCE
The qualifications and experience requirements are the following:
• Tertiary qualification (KY, Bsc or higher) or equivalent work experience in lieu of relevant qualification.
• Minimum 3 years experience working with document management systems and digital archiving.
• Knowledge of the system DOCApp is an advantage.
• Basic knowledge in AutoCad is highly regarded.
• Experience from working in a international and project environment.
• Sound knowledge of the offshore industry or similar is not a requirement but an advantage
• Advanced skills in Microsoft Office suite such as word, excel, outlook and PowerPoint.
• Fluent and effective oral and written communication skills in English and Swedish are required.
