The IT Coordinator role is of a supportive and coordinating nature, focusing on the IT department, but providing support to the Swedish Studio, the Holding company including any Swedish subsidiaries. In this position, you work closely with System Administrators within the IT team and report to the CTO. Collaboration with other departments (e.g. Finance, Front Desk, HR, Production) is also a part of the day-to-day work. As an IT Coordinator, you support the IT department with your organizational skills to ensure that the company's IT needs are met as much as possible, and in a timely as well as service-minded manner.
In this position, you are expected to work on site and it's important that you have good problem solving skills, have the ability to understand basic IT matters and contribute to keeping a positive, calm and professional work environment. Responsibilities
On- and Offboarding Processes
• Coordinate and ensure that workstations/accounts are set up in a timely manner
• Schedule remote testing and follow up/notify relevant parties of results or actionables.
• Retrieve workstation, work tools, laptop or any other IT assets and update Inventory
• Ensure that desks, workstations and peripherals are cleaned at offboarding
• Coordinate and ensure that accounts are suspended and/or deleted in a timely manner
Communication
• Participate in meetings with IT department regularly
• Increase regularity and quality of communication between IT, Finance, Front Desk, HR and Production
• Act as a representative, speaking for the IT department in meetings and send company-wide emails (when required)
• Monitor and follow up on Helpdesk tickets, ensuring a timely response
Administration & Documentation
• Coordinate and contribute to as well as ensure that necessary documentation and administration related to IT, incl. archiving and storing agreements/invoices in a correct and responsible manner
• Contribute to keep hardware inventory updated (incl. peripherals, redistribution, monitoring purchase needs)
• Coordinate purchase orders (often from departments).
• Manage licenses
• Support CTO in IT related administration, such as submitting completed expense reports and requisitions
• Regularly audit users in different softwares (in order to keep user # counts up to date), as well as licence audits.
• Ensure procedural documentation on any recurring routines relating to the IT Coordinator position's responsibilities
Additional Responsibilities
• Identify possible improvements of processes and workflows and making suggestions
Requirements and Personal Qualities
• Previous IT/administrative experience or other relevant experience
• Basic understanding of the IT environment in Games/Film/VFX/CG industry
• Willing to learn about new tools, hard- and softwares and methodologies
• Excellent planning skills, project management experience is considered highly valuable
• A positive and service-minded attitude, responsive and clear in communication
• Ability to multitask, work proactively and able to prioritize for the good of the company
• Ability to work independently as well as cooperate in a team.
• Excellent verbal and written communication in English, and basic verbal/written communication in Swedish is a plus!
• Strong experience of working with G-Suite
• Basic experience of working with Mac, PC, Office Package, Linux
