The Time Analyst provides effective HR service delivery through maintenance and system administration of our time systems Workday Time, Timecare and Regtime. Secure time data to be handled correct into Payroll run. Resolving HR queries and issues in respect of Payroll and Time & Attendance.
The HR Services function is a global HR function who is responsible to ensure the provision of effective and efficient HR service delivery. Parts of the HR service delivery are outsourced and the complex transactions and demand organization are retained within AstraZeneca. We make sure to get the basics right!
The role is within the Payroll and Time team and you will report to the Payroll and Time manager in Sweden. The role will be based in Södertälje or Gothenburg.
Main Duties and Responsibilities
In the Time Analyst role, you will be working operational in our three Time systems, Workday Time, Timecare and Regtime. This work includes System- and Time maintenance. You have Time and Payroll experience and work independently within these areas.
System maintenance
System administrator for Workday Time, Timecare and Regtime. Service review meetings with provider, HRIT, Computacenter etc
Update and controlling Time systems with different data (for example employee data, termination, schedules, organisation structure, new managers etc)
Manage user support for Time systems, i.e. problem resolution, accesses, interface issue
Raise and follow up Tickets to IT organisation, provider if issues
Perform system activities as cleansing, monitor processes, deviation schedules, system upgrades and other relevant activities
Works with improvement activities to enhance system and process
Time management
Perform data controls in Workday Time, Timecare and Regtime before extract Time data into Payroll system. Escalate issues to manager or employees, update data when within HR scope
Responsible of daily and monthly Time interfaces
Validate and coordinate annual vacation accrual in Workday Time
Manage error lists by escalation to managers and send back correct data for payroll handling
Validate and analyse Time data within the payroll run. Handle corrections if needed
Close relationship with our Payroll provider NorthGateArinso to manage issues and improve process
Handle Time tickets in Service Now within SLA
Update/maintain the system with changes of schedules, organization changes, update new employees/terminated employees, EMR's, new managers set up
Responsible for Holiday workers process for Time
Close collaboration with Time Specialist and back up for some of the Time specialist tasks
Schedule handling, together with Time Specialist build new schedules, create CR and update Time system. Also handle deviation schedules for specific groups.
Working proactive to update/create training documentation and other information when necessary for all time systems
Regtime training for new managers
Update guidelines and information on Intranet
Support and contact with employees, managers, HRBP, Unions, Providers
Continuously Improvement work within the Time area
Essential Requirements
Extensive Payroll and Time experience
Knowledge and experience from working with Regtime, Workday Time and TimeCare or other Time systems
Fluent in Swedish and English both verbal and in writing
High school education.
Robust knowledge of Time legislation, policies, processes, payroll, data and systems
Experience of working with system updates
E2e knowledge of time process (incl. payroll)
Experience working in a customer service environment and of having worked in a technology driven environment.
Strong detail orientation and analytical skills
Proven customer-oriented focus
Ability to work effectively in team environment
Demonstrated ability to work independently
Demonstrated ability to maintain highly confidential information
Flexible and ability to change per business needs
Very good collaboration skills
Good Excel knowledge
