We are currently looking for a dedicated Global Distribution Coordinator on behalf of a client. In this position, you will have the opportunity to work at a leading biopharmaceutical company renowned for its innovative treatments in specialist care.
About the Role
As a Global Distribution Coordinator, you will play a critical role in ensuring efficient and compliant delivery of our finished goods to customers. You will act as a central hub for customer service, logistics, and continuous improvement initiatives.
Your key responsibilities include:
Customer Order Coordination and Service
* Process orders: confirmation, batch reservation, and initiating pick/pack activities.
* Manage transportation: bookings, tracking, and monitoring shipments.
* Oversee invoicing and crediting.
Customer Qualification and Setup
* Collect and verify customer data, ensuring valid Ministry of Health permissions.
* Initiate and manage customer setup in the IFS system.
* Conduct compliance screening in line with trade requirements.
Return and Credit Administration
* Process returns and credits, adhering to company policies and Good Distribution Practices (GDP).
Continuous Improvement
* Proactively identify and implement process and system improvements to enhance operational efficiency.
Month-End Reconciliation
* Execute sales and stock reconciliation with logistics service providers.
* Investigate and resolve discrepancies as needed.
Logistics Service Provider (LSP) Coordination
* Serve as the primary contact for supply-related issues, such as EDI transactions and back-order monitoring.
* Provide customer support, communicate updates, and address challenges.
* Organize Business Review Meetings (BRMs) to review KPIs and manage operational concerns.
Compliance Management
* Handle change controls, non-conformities, and corrective/preventive actions.
* Investigate and resolve serial number alerts in compliance with the Falsified Medicine Directive (FMD).
Qualifications
To succeed in this role, you should have 5-10 years of experience in logistics and distribution. A background in order administration and an interest in IS/IT systems would be advantageous. Fluency in English is required, and knowledge of Swedish is desirable.
We are looking for a structured and professional team player who has a strong customer-service mindset and enjoys working with diverse internal and external stakeholders. You should be proactive, independent, and not afraid to take initiative when processes need improvement. Excellent communication and problem-solving skills are essential, along with the ability to manage time effectively and balance short- and long-term priorities. A positive and solution-oriented mindset will set you apart in this role.
