• Be the point of contact for customers responsible for representing and delivering an excellent customer experience
• Ability to make judgement based decisions when working directly with Lilly's Key Customers and dealing with complex situations
• Be the business for the Mercury system related activities
• Support the business on all meeting types and contracts, including Medical research
• Establish and maintain working partnerships with external providers and the wider CMS hub team
• Point of contact for Cork Global shared services, compliance departments, sourcing specialists and meeting planning companies
Project Management
• Develop expertise and knowledge of the Mercury meeting system that includes meeting registration, contracting and transparency requirements
• Initiate and maintain project plans, ensure the business is kept up to date with meeting progress
• Work closely with Cork Global shared Services team to ensure seamless HCP customer experience and delivery of services on the
HCP contract and transparency requirements
o Contracting
o Registration process, travel , transfers, dinners, onsite support and other logistical needs
o Budget management
• Liaise with Global Travel and Meeting Services for logistics, vendors and implementation team.
• Review, analyse and propose necessary interventions on post-event customer (VOC) surveys, feedback, and budget recaps and incorporate learning into future plans and for management and metrics report.
Compliance
• Point of contact for any compliance queries, and manage escalations to Hub leader
• Ensure all meetings are compliant before the meeting takes place
• Partner with Local country Hub Ethics and Compliance Leaders to ensure that all compliance requirements are met and affiliates are audit ready at all times.
• Support Ethics and Compliance Monitoring Program
• Attend as required Ethics and Compliance training and relevant local industry codes of practice updates.
• Comply with the Global Standards on Meetings and Events and all other relevant Lilly standards and procedures.
• Collect, submit and keep records of all required approvals according to deadlines.
• Ensure that all documentation is captured and uploaded to the Mercury tool (approvals and compliance documentation
• Be the central point for ToV data collection for all meetings and ensure it is monitored and reported in the Mercury Tool ( final project plans , approvals and compliance documentation)
• Oversee crisis plan is in place and lead in case of crisis
Business Planning and operations
• Work alongside the business unit to forecast the meetings, including full budget expectations
• Work to ensure all PO are requested and oversee the payment process for meetings
• Establish and maintain internal partnership with compliance , finance and procurement
• Be responsive to audit quality and compliance requests
Continuous Development of knowledge and Skills
• Look for opportunities to streamline operations with the Nordic/ UK hub and the LCMS team
• Ensure performance objectives are in alignment with company and department objectives and are approved by your direct supervisor
• Be recognized as a technical expert for the customer meeting support service
• Contribute to process improvements , suggesting opportunities where appropriate
We are looking for a person with below experience, skills and capabilities:
• Ability to communicate clearly and succinctly with all audience and forums through exemplary English oral and written communication.
• Pharmaceutical industry experience. And /or experience in strategic meetings management administration
• Demonstrated strong customer focus and the ability to develop professional relationships with all parties involved
• Strong proficient and learning agility with various computer applications and software
• Ability to solve problems and work independently
• Good judgment , time -management , interpersonal , and ability to multi task on a variety of projects
• Ability to model and exemplify teamwork to ensure the success of the business
• Ability to travel up to 20%
• Strong background in various forms of engaging with customers
• Working knowledge of Lilly Privacy Program
• Previous experience partnering with external vendors
• Working knowledge of compliance issues and regulatory requirements within a corporate environment
