As a Business Assistant & Assistant Supervisor within Commercial & Investment Bank, you will need to possess advanced assistant skills, including maintaining confidentiality, demonstrating a strong work ethic, managing time effectively, being resourceful and diligent, and focusing on business and client deliverables. Applicants should have a robust background as a senior-level Executive Assistant with a proven track record and a high degree of flexibility due to the demanding nature of this role. The position involves providing high-level executive administrative support across various levels of seniority, from Managing Directors to Operating Committee members, including Global/Regional Heads, Vice Chairmen, CEOs, and COOs.
You must have a strong understanding of business priorities to deliver, manage, and maintain exceptional support at all times. The role includes people management responsibilities, working closely with the Assistant Manager, HR, and Line of Business stakeholders to ensure an effective and successful coverage model for all business lines. You should be structured, solution-oriented, and focused, with a keen eye for detail and opportunities, capable of navigating change and providing constructive feedback and direction to your direct reports. You will ensure optimal daily coverage and offer solutions for planned or unplanned absences with ease. Additionally, you will plan, own, and implement changes with senior stakeholder and Business Manager approval. You will be responsible for the career development and year-end review/rating of your direct reports, as well as Performance Management (PIP) and Capability Management. You will also undertake project-related tasks and see them through to completion with minimal support or direction from the business.
Responsibilities
• Ensures the completion of core Business Assistant tasks.
• Assists the Assistant Manager in supervising Business Assistants.
• Expected to work independently, exercising significant discretion and judgment.
• Monitors timekeeping, absences, and holidays to ensure smooth day-to-day staffing and adequate support for the front office.
• Collaborates closely with internal support groups (such as BSM, HRGPS, EMT, Business & Facilities Management) to share knowledge and promote best practices among assistants.
• Acts as an individual contributor responsible for implementing defined processes within a specific area, providing oversight and guidance to less experienced staff, and promoting a strong personal brand.
• Maintains a strong relationship with Resource Solutions for contractual recruitment, negotiating talent requirements based on open positions and daily rates.
• Assists in managing personnel issues, including performance, sickness, and maternity.
• Manages assistant performance and conducts regular "Check-In" sessions, sharing senior stakeholder feedback in preparation for year-end reviews and ratings.
• Maintains close connections with assistants, business managers, and front office staff to proactively manage change, including liaising with senior stakeholders on issues relevant to assistants.
• Lead recruitment process, assist with onboarding and offboarding employees
• Maintenance of Job Descriptions and team process documents
• Update and maintain information for the department, responsible for ensuring all service line information is up to date and fully represented through central Office Management Database (OMD)
• Full Ownership of departmental DL's in partnership with Business Managers / HR Leads and BSM with new joiners/Leavers notifications
• Ability to manage challenging support-related projects from start to finish
