ILAC works with governments, civil society and other stakeholders globally to provide assessments and expert guidance on how to rebuild justice systems after conflict. ILAC 's over 50 member organisations of judges, prosecutors, lawyers and academics worldwide are experts in providing technical legal assistance in fragile and post conflict countries.
ILAC's Secretariat in Stockholm consists of the Executive Director and nine staff members. The work of the Secretariat is mainly to initiate assessments of justice systems and justice building projects, coordinate member activities, raise funds and liaise with international organisations, governments and civil society.
We are now looking for a part time (50%) colleague to help us with administrative support services as well as with book-keeping.
Your tasks and responsibilities:
Office support and assistant:
• You will work as an assistant to the Executive Director of ILAC and the Deputy Director. You will have regular contact with external parties, conduct bookings of facilities, travels, book meetings/workshops etc.
• You will be responsible for the ordering of office equipment and other office running costs and oversee that the office facilities are in order.
• You will maintain a filing system and archive of contracts and other relevant documents
Financial support
• You will ensure that the bookkeeping and all accounting records are organized on a regular basis and accessible for auditors etc upon request.
• Conduct monthly account reconciliations in the business system. In this regard, you will work closely with the finance manager.
• You will handle supplier invoices and enter and scan journal vouchers in the business system
• Prepare and register domestic and international payments and advances of various kinds including to consultants, suppliers etc.
• You will coordinate and take care of membership fees and update the list of organizations and individual members to ILAC.
Qualifications/requirements:
• High school degrees and additional qualifications suitable for the tasks required, preferably experience as an administrative assistant or financial officer
• Knowledge of office management routines and procedures
• Knowledge or experience in book-keeping
• Working knowledge of office equipment like printers and fax machines
• Proficiency in MS office (MS Excel, Power Point, Outlook etc)
• Attention to detail and problem solving skills
• Strong organisational skills with the ability to multi task
• Excellent written and verbal communication skills in Swedish
• Comfortable in written and spoken English
Type of employment:
Halftime 50% for the duration one year with a possibility for an extension.
