Sales allowances are the support BMW Northern Europe pays out as an allowance on different models to the dealer network that in turn passes the support on to the end customer buying a car. The campaigns running for the different markets are decided together with the sales departments, product and price and controlling. The four markets within the Nordic region, Sweden, Finland, Denmark and Norway today have different campaigns and different rules for cars being entitled to the supports. Currently there are different IT solutions in place for the pay-out process, mainly SAL and NKAM.
The aim of the project is to reduce pain points and complexity within the campaigns. A crucial responsibility within the role is to understand the comprehensive IT landscape and ensure that the rules for the different campaigns are adhered to always considering all four markets. Manual processes within the respective markets are to be identified and the expectation is to present, test and follow up on more effective solutions. The project will start with assisting the Swedish market which handles the largest volume and complexity.
The outcome is to find a harmonized setup within the Nordic region and to reduce manual labour in order to decrease the error rate, taking into account specific legal requirements within the respective markets.
Scope of work
Support the Team lead for sales claim handling in defining and rolling out a new harmonized sales claim structure for the Nordic region.
Improve current sales claim processes in all markets.
Identifying potentials in reducing complexity in sales campaigns and manual workload in close collaboration with the Nordic Sales Assistants and other departments involved.
Follow up incorrect transactions and assist in implementing a new proper process.
Setup a holistic approach for the region and make sure to follow this approach in all decisions taken on market level.
Document all decisions and make sure they are in line with the newly implemented NKAM system for sales claims.
Supporting the Nordic Sales Assistants with daily tasks.
Administrate and monitor sales supports in the region.
KPIs
Reduce campaign complexity by bundling packages reducing number of active campaigns by 50% according to agreed time plan.
Reduce number of incorrect transactions, errors and missing campaigns in a timely manner. From average 100 to 20 incorrect payments per month and with a lead time of <5 days after new campaign program is uploaded.
Reduce backlog of unpaid supports by optimization of the process. Target is 3 days lead time after status retail.-Reduce manual workload by setting up automatic processes within the markets. Target is <15% manual claims according to agreed time plan.
Follow up taken decisions on a weekly basis with project stakeholders.
Weekly reports to Team leader about project progress.
KPI's will be revised on a 3 month basis.
