The Science Directorate at the European Spallation Source Eric in Lund, Sweden, invites applications for a Personal Assistant to the Director of Science.

Description of ESS
The European Spallation Source (ESS) is a European Research Infrastructure Consortium (ERIC), a multi-disciplinary research facility based on the world's most powerful neutron source. The unique capabilities of this new facility will both greatly exceed and complement those of today's leading neutron sources, enabling new opportunities for researchers across the spectrum of scientific discovery, including life sciences, energy, environmental technology, cultural heritage and fundamental physics.

Description of main responsibilities
As Personal Assistant to our Director of Science you will provide appropriate and high-quality support in an efficient and proactive manner, and give support and expertise to other team members within your area of responsibility.

This entails taking everyday decisions regarding venues, activities, etc. for on-site and off-site meetings in line what is agreed with Director, coordinating activities as needed to meet responsibilities and providing feedback and suggestions for solution to management.

Your palette of work will be spread out in, but are not limited to, the below areas:

PA DUTIES

• Keeping track of Director's e-mail and calendar, being proactive in solving planning conflicts and re-arranging schedules/meetings
• Booking meetings
• Making meeting agendas
• Answering questions in Director's absence, in the best way possible
• Perform duties as delegated by the Director

TRAVEL ARRANGEMENTS

• Take care of travel bookings and all arrangements around business trips for Director and Deputy Director
• Travel guidance and other assistance for visitors to Director
• Make travel expenses for Director and Deputy Director

MEETINGS AND CONFERENCES

• Organise Scientific Advisory Committee meetings that occur twice a year, including invitations, agendas, booking hotel, transportation and managing all the practicalities with the meeting
• Organise In-kind Collaboration Board meetings that occur two to three times per year including invitations, conference booking and to participate in the meeting taking meeting minutes
• Organise other meetings for the Director
• Manage the Science Management Team meetings including minutes of meetings

GENERAL DUTIES

• Information of different kinds to Science Directorate staff
• Organise and rationalise the administrative work by implementing or improving, routines
• When needed, adapt current routines to our organisation
• Contribute to a positive, creative and open working atmosphere


Qualifications
The successful candidate has an educational background within administration, preferably on university level, and at least five years of experience of similar work in an international organisation. We require a high level of professionalism and a strong ability to relate to people of all levels and nationalities. Furthermore, we also require the ability to maintain confidentiality and a high degree of discretion.

Knowledge of working with IT tools such as MS Office to a high standard of excellence is a prerequisite and we expect excellent oral and written English skills. Knowledge of other European languages, preferably Swedish, would be an advantage.

On a personal level, we need someone who is passionate, enthusiastic, and a team player with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities.

Duration & Location
The position is permanent with six months' initial probationary period. Your work place will be situated in Lund, Sweden.

Start date
The position is to be filled as soon as possible.
