Indigenous peoples and local communities live in more than half of the world 's land area yet they legally own less than 10% of their territories. Securing their land and forest rights enables them to have the cultural and economic independence to thrive and continue to protect systems vital to our global climate, fresh water, and food security. The International Land and Forest Tenure Facility (Tenure Facility) offers grants and technical expertise at the speed and scale required to secure tenure and sustainably manage millions of hectares at risk today. The Tenure Facility works directly with the Indigenous Peoples and local communities and their allies' ensuring laws on community rights are translated into rights recognition on the ground. It supports them to achieve formal legal recognition of their land and forest rights on maps, in laws, and in the plans and operations of governments and private investors. It works strategically with local, national, and international stakeholders to foster community-level partnership and joint action with governments and the private sector.
The Tenure Facility is an international organization based in Stockholm, Sweden, and has a secured multi-year funding. The Secretariat, with now 20 staff-members, is therefore looking forward to adding an Operations Officer to the team.
Overview of the position
The Operations Officer for Administration Support reports to the Chief Operating Officer and forms part of the Operations Team. The Operations Officer is a key resource for support, implementation, and coordination of the operational processes within the Tenure Facility. The position may involve in-country visits to project partners.
Overarching responsibilities
• Contribute to establishing the Tenure Facility as a highly credible and respected foundation among international development institutions and donors.
• Coordinate and facilitate support actions to Tenure Facility Units as needed, that generate mutual trust and respect between Indigenous Peoples and local community (IPLC) partners and networks with Tenure Facility, its donors, relevant governments, other stakeholders with full awareness of the intricacies of culture, relationships among the IPLC partners and their own allies and supporters.
• Contribute to a collaborative and resilient internal working culture for sustained progress on the Tenure Facility's strategic goals and objectives.
Specific Responsibilities
• Contribute to an efficient management of external relations and expansion of funders and linkages with other stakeholders' networks.
• Support the COO in communications, response and contact with the Tenure Facility Donors.
• Support and manage effective and streamlined administrative systems for monitoring and follow-up of donor requirements.
• Be responsible for the follow-up and monitoring of the Tenure Facility 's external supplier contracts
• Work with the COO and Operations Team to implement efficient administrational procedures as needed.
• Other duties as agreed based on emerging needs.
Qualifications
• Bachelor's degree in management, administration or equivalent
• Five years experience in work related to administrative systems and procedures
• Excellent organization and time management skills
• Ability to multitask, prioritize, make decisions, and exhibit sound judgement
• Excellent writing, editing, proofreading skills including verbal communications
• A team player, energetic, humble, capable of cultivating productive working relationships with colleagues across the organization
• Previous experience from back-end administration of Office 365 environments
• Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
• Fluency in written and spoken English, which is the Facility's working language. Preferably one additional relevant language, such as French, Spanish and/or Portuguese
• Fluency in Swedish and knowledge of Swedish regulations are meritorious
• Preferably experience from work with donor relations and communication and knowledge from procuring and managing consultancy contracts
• Additional qualities include among others; knowledge in human rights, IPLC, forestry and nature conservation, ecosystem resilience and systems thinking
