The role
Your main task as Office Manager is to take primary responsibility for creating a pleasant office. You ensure a first-class treatment of all external visitors as well as internal colleagues. You will also support administrative tasks such as registration of travel invoices, meeting bookings, and booking trips! One day will not be like the other - there are highs and lows. You may prepare for meetings, send packages, coordinate for a new colleague to start with us, look over the planning for an upcoming AW, or chase the landlord to get help with the ventilation. Your main responsibilities include:
• Have contact with external partners/suppliers
• Internal communication in office related matters
• Co-coordinating the company's events, 3-4 per year
• Support in the onboarding and offboarding of employees
• Support the organisation with administrative tasks
Who are you?
As a person you are happy, social, and independent! You understand the importance of having a good work environment and an office that looks fabulous. You have an eye for details and like both big and small work tasks. People describe you as a doer, that takes your own responsibility and always gives that little extra spark! It's a big plus if you also have a genuine interest in creativity. Beside your personality, we would also like you to have:
• A couple of years proven track record within Office management
• Extended experience in Google workspace
• Experience in handling invoicing and administration
• It's a plus if you have experience in the systems Procountor and Visma Severa
• It's a big plus if you have experience in graphic, content, blog and video editing
• Fluent in Swedish, due to administrative work tasks
• Fluent in English
Practical information
This is a permanent position with a 6 months' probation period, based at our Stockholm office at Katarinavägen 17. Starting date November 15, 2023 or by agreement. We offer a hybrid remote workplace and you will report to Head of Talent Acquisition and HR.
