The role:

As Office Manager Sweden (maternity cover), you will be responsible for the facility operational duties at the Swedish office's, such as reception, events, facility services, maintenance etc., all operation that keeps the office running smoothly and based on set service levels, targets and strategies from People & Sustainability/Real Estate & Facility.

The role is maternity cover until January 2025.

Key Responsibilities and Accountabilities:

• Follow policies, procedures, and programs to ensure the efficient and effective office management & operation of the facility.

• Follow and keep to budgets and finances, including preparing and tracking budgets, monitoring expenses, procure facility related products and services and making recommendations for cost savings.

• Overseeing the maintenance and repair of the facility, including coordinating with vendors and contractors, and ensuring that all equipment and systems are in good working order.

• Ensuring the safety and security of the facility, including conducting regular inspections, implementing emergency response plans.

• Coordinating events and activities, including scheduling meetings and events, arranging for catering and other services, and managing logistics.

• Managing outsourced personnel, training, and providing guidance and support. Building and maintaining relationships with stakeholders, including tenants, employees, vendors, and local authorities.

What we're looking for:

• Leadership: An Office Manager must be able to lead and motivate external outsourced personnel to maintain a high standard of service and stakeholder satisfaction.

• Communication skills: It is important to communicate effectively with internal stakeholders, both orally and in writing (Swedish and English).

• Stakeholder focus: Providing excellent stakeholder experience is crucial.
This involves being responsive to stakeholders' needs and preferences.

• Organizational skills: Being able to handle multiple tasks simultaneously and prioritize them effectively is crucial to ensure the smooth operation of the office.

• Problem-solving: Being able to solve problems quickly and efficiently is an important skill for handling any complaints or situations that may arise in an office.

• Flexibility: The office management can be very dynamic, and an Office manager must be able to adapt to changing circumstances and work requirements.

• Teamwork: Being able to collaborate effectively with the team, the stakeholders, vendors, and contractors are crucial to ensure smooth operations.

It's a bonus if you have:

• Experience in office management, hotel industry or similar: Previous experience in office management or the hotel industry.

• Knowledge of industry standards: Having knowledge of industry standards and best practices in office operations is important to maintain a high standard of service and facilities.

• Financial understanding: Being able to understand budgets is important to ensure cost control of the office operations.
