JOB OVERVIEW
The Office Manager is responsible for all aspects of the building and office management crucial for ensuring the smooth running and the logistics of the office and administrative support for the local teams. Ensuring that premises, equipment and services are maintained to the highest standard in accordance with current legislation relating to site safety and management as well as taking ownership of the logistics of maintaining an office environment.
The role will be based in Gothenburg but also have responsibility for the management of the office in Stockholm to ensure that both locations are used effectively and efficiently, that appropriate office services are provided, and that cost awareness is stringently managed. It is integral to work proactively with the local teams to ensure the efficient running of the Nordics business. Responsibilities
All responsibilities are for both locations in Sweden, Gothenburg and Stockholm. As such you will be needed to travel from time to time
Arranging services with suppliers as needed and managing all vendor relationships ensuring the most cost-effective contracts are in place
Organising the office including maintaining the condition of the office and arranging for necessary repairs
Supporting the office to be environmentally friendly, reducing the company's carbon footprint
Providing a safe and pleasant user-friendly (and sustainable) office environment. As a Health & Safety and Fire Officer, pro-actively ensure that the company complies with Health & Safety and Fire legislation, ensuring all required assessments, monitoring and remedial action and records are undertaken
Office maintenance and arranging repair of office equipment when needed
Checking inventory on a regular basis and ordering office supplies (stationary, refreshments, other ad hoc purchases)
Assisting in all aspects of event planning and implementation such as hosted meetings, offsite meetings, conferences, and staff parties
Initial office orientation for all the new starters, ensuring all new starters are aware of health and safety requirements, have the required equipment etc
Provide support to sales and account management teams within the business to allow focus on their core activities
Supporting project administration as required
Management of local mobile phone subscription
Provide light touch local IT support and assist with onboarding and offboarding with support from offshore teams
Requirements
Experienced 'hands on' Office Administrator who is able to work on their own initiative, take ownership and work effectively with a wide range of colleagues, associates and contractors
Strong organisational and communication skills
Excellent stakeholder management skills
Proactive, professional, hard-working and committed individual
Previous experience in a similar environment
Excellent presentation, communication, IT and interpersonal skills are essential
Be fully proficient in all Microsoft Office programs (including Word, Excel & Outlook)
Able to prioritise a busy workload whilst maintaining excellent attention to detail
Be resilient, resourceful, responsive and punctual
Discretion when supporting activities and handling sensitive data
A thirst for knowledge and desire to immerse themselves in EPAM business in the Nordics
English - high level of proficiency both speaking and writing
