A challenging job within an international company. You will be based at Stockholm, Arenastaden in our head office in Solna. Vattenfall offers appealing contract conditions.
Job description and responsibilities for the Executive Assistant
You work as an executive assistant to the Head of Business Sales and his management team: You will work most of the time with assisting the Head of Business Sales but also part of the time by assisting the management team consisting of six members.
Your daily support to the Head of Business Sales:
• Meeting, activity and travel arrangements
• Outlook and mailbox handling
• Preparing material and presentations
Support the Management Team:
• Meeting planning
• Prepare the weekly meetings incl taking meeting minutes etc
• Support the MT with administrative tasks
• Organising yearly the Business Sales conference
• Organising team events and meetings for the team in Stockholm
• Invoice handling
• Administration personnel (for ex. Performance Agreement dialogues)
• Monthly check of working hours, holiday and absences
• Administration of new employee (checklists, photograph, credit card, mobile, workplace)
• Floor manager (contact with Facility Services)
• Be an effective and informed first point of contact for Business Sales
Qualifications and personal characteristics
• Relevant education (e.g business administration)
• Very good skills in using common IT applications (MS-Word, MS-Outlook, EXCEL, Power Point, SAP)
• Fluent skills in spoken/written English and Swedish.
• Experience of working as an assistant for an executive.
• Structured working methods
• You need to have a proactive approach and professional manners
• Open minded.
• Capacity to work independently
• Good cooperation and communication skills
• Flexible and has a high level of integrity
• High social capacity with understanding of the importance of creating a positive working atmosphere.
• Wants to be a team player in a professional team
