About the Australian Government's Department of Foreign Affairs and Trade (DFAT)
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.

About the position
The Australian Embassy is seeking a full time Property and IT Administrative Officer. The position requires a self-starter who is able to work independently and can demonstrate a high level of initiative, energy, judgement and discretion. The successful candidate must have strong organisational and communication skills, including the ability to liaise effectively with a wide range of people, and good writing and research skills. Above all, the applicant must be able to work well under pressure as part of a small and dynamic team. Fluency in English and Swedish is essential.

Position summary
This position provides a range of property services and also undertakes general administrative support for the Australian Embassy in Stockholm. The position also performs the role of Local Area Network Administrator (LANA) and maintains the Embassy's Satin Low network, communication systems and equipment.

The key responsibilities of the position include, but are not limited to:

• Under direction of the Office Manager, undertake property management duties for the Chancery and official residences, including; property searches, liaison with the DFAT Property Management Services Provider and supervision of tradesman/contractors.
• Coordinate procurement and disposal requirements for furniture and fittings, motor vehicles and ICT equipment and management of the annual asset stocktake for the Embassy.
• In consultation with the Office Manager, conduct property audits to assess compliance with local and Australian Work Health & Safety requirements and make recommendations for compliance.
• Undertake Local Area Network Administrator (LANA) duties including, maintenance of Satin Low network, user accounts and provision of ICT support for security systems, including CCTV, voice communication, hardware devices, access control and alarm systems.
• Maintain the Embassy's website, Facebook and local applications.
• Liaise with external service/utility providers regarding contracts and billing.
• Undertake projects and research as required and provide general administrative advice and assistance to the Senior Administrative Officer (SAO).
• Prepare invoices for payment and submit to Accounts for processing in accordance with Departmental procurement guidelines.
• Provide backup support to the accounts position as required.

SELECTION CRITERIA

• Demonstrated experience in financial and/or property management.
• A willingness to learn or demonstrated skills/experience managing and/or maintaining computer systems and ICT networks, including hardware and software.
• Proficiency in SAP and Microsoft Office software applications.
• Sound written and oral communication skills in English and Swedish.
• Sound interpersonal skills and the ability to establish and maintain effective stakeholder relationships.
• Demonstrated capacity to work effectively and cooperatively in a small team environment, including an ability to work with limited direction and to exercise initiative and judgement and to prioritise and manage multiple tasks and deadlines.
