Purpose of Job:
To ensure that the switchboard is always answered OTIF (on time and in Full) and calls handled in a professional manner. Also to ensure that all orders, exchange invoices, credit notes are generated accurately and OTIF. Take care of all filing, collection of monies, follow up outstanding payments, load and follow up orders, receipt of shipments and ensure that they are OTIF. Load customers and manage outstanding orders and accounts. Check in Stock and verify that it is correct and manage stock requirements. Liaise on a daily basis with head office on all the above. Secretarial duties required.

Main tasks of Job
• Answering of switchboard and transfer of calls / taking messages
• Update customer database on the AIMS
• Handling Petty Cash (For Ad hoc items)
• Invoicing
• Stock control and management of all stock.
• Double Checking Banking done by Branch MD
• Generate invoices, RMA's and credit notes on internal Syspro system
• Generate manual invoices when Syspro is not working
• Daily receipting
• Liaise and track with the mother companies sales department on fulfilment of orders and all financial requirements.
• Collocate all invoices and other documents required by our tax consultant for tax authorities
• Manage and update the customer DATA BASE
• Responsible for planning , booking all travel and accommodation arrangements for all staff

Technical Responsibilities
Become familiar with the workings of the Alcohol Interlock to be able to assist customers

Minimum Qualifications
• Grade 12 ("Gymnasium" in Swedish) or higher
• PC Literate
• Syspro (Advantageous will receive in house training) Syspro (Advantageous will receive in house training)

Experience Required (eg. previous job experience and ideal career path before reaching this position):
• 2-3years switchboards/admin experience
