Titel: Administrative Assistant
Beskrivning av arbetsuppgifter:
Reporting to the Operations Manager, you will be responsible for:
Receive, register and acknowledge orders
Deliver and invoice from Visual
Customer contact regarding delivery, invoices, trackin number and administrative paperwork as certificate of origin, certificate of manufacturing
Quote freights and inform regarding package sizes to customers
• Administer customer payments, LoC, SoD etc
• Improvement of processes in order management
• Follow up on due invoices
• Send supplier invoices to Finance department in France
• Contact person regarding questions about cost, account nb, employees etc towards the Finance department in France
• Intrastat reports
• Ordering stationery and supplies
• Mail/Courier distribution/collection
• Updating phone lists and phone programming
• Security card set-up and responsible for people entering building
• Responsible for office alarm
• Manage "rikskuponger"
• Site contract coordinator (insurance, security, cell phones etc).
Reporting to the General Manager, key deliverables will include:
• Coordinate all salary and healthcare activity,
• Oversee implementation of annual performance review process Coordinate recruitment process
• Coordinate new-hire and end of employee contract employee process
• Coordinate Health and Safety compliance
• Coordinate social activities
• Oversee vacation planning and calculation of non working days
• Administration and participation of MBL(local unions) negotiations/Ensuring Employment Law adherence
• Administration of employee surveys and follow-up action items
Beskrivning av kvalifikationer:
We are looking for a fluent English speaker/writer, and someone with administration/support experience. Great PC skills (MS Word, Outlook, Powerpoint, Excel) is a must. Experience using an ERP including order administration is highly regarded.
The successful candidate has prior experience as an Administrative Assistant to senior management, and the ability to effectively interact with all levels of employees and customers. This position is resourceful, proactive, assertive, detail oriented and energetic. This person is a self-starter, has a high level of motivation, and has the ability to work independently and also as a member of a team.
The person will have basic financial knowledge, and impeccable interpersonal, communication and customer service skills. The nature of our business is a global, fast moving and dynamic atmosphere, so the person needs to be flexible and able to effectively deal with international work relations and have the ability to multi-task as business needs change.
