About the position
Perido is looking for an Administrative assistant to our client, an independent and important agency of the European Union. The mission of this agency is to strengthen Europe's defenses against infectious diseases and identify, assess, and communicate current and emerging threats to human health posed by infectious diseases. The position is placed at their office which is nicely located just outside of Stockholm city. After an introduction at the agency's premises the work can proceed mainly from home due to the ongoing Covid-19 pandemic. A step-by-step return to work can be expected.
Your daily tasks
In this position you will report to the Head of Section Information and Knowledge Management and coordinate with the main librarian. You will support the RMS Unit and in particular the library unit. You can expect to perform the following tasks:
Manage the incoming mail and email for the library inboxes
Take part in maintenance of the library records, including the technical service activities related to cataloguing and processing the library collection
Collect statistics and keep accurate records from the different services and activities provided by the library
Provide support to loan service, inter library loans service, and selective dissemination of information service
Keep track of the submitted requests by the library patrons until they are fulfilled
Provide support in the elaboration of manuals for the tools and services used in the library
Take part in the internal marketing, promoting library products and services
Provide trainings and end user support on reference management software
Your qualifications
In order to be successful in this role, you have a high level of responsibility and an ability to take initiative. You communicate efficiently in English at all levels internally and externally, in an appropriate manner and you always make sure to offer a high level of service orientation. Quality defines your work, and you are solution driven as well as an active listener. Furthermore, you can work under pressure and have great experience of organizing and prioritizing your work accordingly. We can also see that you are a true team player - with skills in team building and collaboration - even though you also work just as well independently with minimum supervision. Lastly, you know how to handle confidential information with discretion.

Requirements
Relevant post-secondary education.
Proven professional experience as an administrative assistant/secretary, preferably in a multicultural working environment.
Excellent skills in preparing correspondence and other documentation
Good numerical skills
Good experience using spreadsheets, tables of figures and basic financial planning skills
Advanced command in Office applications (Outlook, Excel, and Word)
Excellent command of English; spoken and written.
Meritorious
Experience using referencing manager software such as EndNote, Mendeley, Citavi
Contract type and hours
Full-time assignment, until the end of October with the possibility of extension. Start as soon as possible.
