We are now looking to hire a Senior Administrator. You will get the opportunity to work in a fast paced environment where proactive, creative and flexible skills will be valued. The role will be placed in Gothenburg, Sweden.

As GMA (Global Medical Affair) Therapeutic Area Senior Administrator you will perform high level project and administrative duties. The role involves executive level contact globally, in a dynamic and complex business environment with sensitive and confidential information. We are looking for someone pro-active and creative, can add value by supporting both the Therapeutic Vice President (TAVP) and Strategy and Operations Leads (S&O Leads) and can deliver on the GMA vision to bring innovative medicines to patients.

Main Duties and Responsibilities

• Work with the TAVP and S&O Lead to execute operations for the Therapeutic Area
• Assist S&O Lead and TAVP running critical business reports and cascading communications to the broader TA
• Assist the S&O Lead in executing the operations for the Therapeutic Area Coordination Unit (TACU) and cascading communications, action items, and solutions for the TACU
• Manage all TA level iBUY procurement inputs by partnering with S&O Lead, Procurement Business Partner, BSO colleagues, and TA team members (Medical Affairs Leaders, etc.)
• Run special projects for TAVP and S&O Leads, and independently and pro-actively resolve issues and challenges
• Proactively manage all aspects of administrative support for TAVP customers: aspects can include:Calendar management
* Booking travel (both domestic and international)
* Expense reports
* Recruitment support
* Meetings
* Document management
• Advise customers and peers on the best way of conducting administrative tasks
• Administer and be an excellent user of essential IS/IT administrative systems to increase efficiency in day to day work
• Lead or participate in continuous improvement activities and change management initiatives
• Contribute to knowledge sharing within the Business Support Office
• Work collaboratively with Global Colleagues to deliver a lean, consistent and professional global services
• Provide guidance/coaching and mentoring to colleagues where required
• Lead or participate in training and development initiatives for administrators or other relevant training

Essential Requirements
• 5 or more years of administrative experience, including at least 2 years of experience supporting Senior Leaders
• Relevant professional qualification in administrative skills
• Demonstrated advanced proficiency across a broad range of administrative processes and procedures
• Capable of proactively prioritizing and managing calendars (with ease)
• Experienced domestic and global travel coordinator
• Communicates effectively and confidentially with local and global leadership, internal and external customers
• Ability to work across functions - Commercial, Regulatory, Project Management, Communications, Senior Leaders, IT/IS
• Expertise in planning and coordinating internal and external meetings
• Proficient with Microsoft office suite
• Detail oriented with the ability to multi-task in a high volume environment
• Have a keen understanding of the importance of professional and diplomatic interpersonal skills
• Be flexible in a changing environment
• Be responsive, not reactive

Desirable Requirements
• Significant experience in a PA/Administrative role gained through working in a variety of different functions across the business
• Graduate level of education
• Experience of working in a Pharmaceutical/ Drug Development environment
