About the job
Global Product and Portfolio Strategy (GPPS) is the bridge between science and the marketplace. It ensures integration of research, development and commercial activities, providing a 360 view of our competitive and market environment. The team is small and collaborates with all key markets across the globe in the area of cardiovascular and metabolic diseases.

As a Personal Assistant your responsibilities is basic administrative support for two Senior Managers and a few Managers. Your work consist of project management of functional activities, representing the Senior Managers in communication/responses to different internal and external stakeholders and establishing systems and structures for day to day functioning of their responsibilities.

Examples of tasks:
• Organize complex business trips and schedule meetings with internal and external stakeholders.
• Access the email accounts of Senior Managers to schedule their appointments and answer or redirect routine enquiries from internal or external sources.
• Accurately transcribe, type, format, and proof read a wide variety of material, using Word, PowerPoint and Excel.
• Maintain a customized database used to manage the portfolio of activities and to generate reports for top management.
• Track expenses and team budget.
• Perform other administrative tasks using independent judgment and discretion.
• Plan, organize, and schedule own workload so that all activities are completed accurately and on time.

This is a consultant assignment starting in December 2016 and will continue for one year, with a good chance of prolongation. We recruit on a rolling basis, so send in your application today!

About you
The person we are looking for is an energetic person with a lot of experience in the administrative field and with a can do attitude.

Essential Skills and Capabilities:

• A professional, confident, and proactive approach, with the ability to independently manage a diverse and demanding workload.
• Strong organizational, forward-planning, team-working and stakeholder management skills with attention to detail.
• Track record of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations and priorities.
• Customer service skills.
• Excellent organization skills with attention to detail and the ability to manage multiple projects/ tasks simultaneously and effectively, identifying high priority, urgent tasks for immediate action so that all activities are completed accurately and on time.
• Ability to network and influence to develop solutions.
• Experience in handling sensitive information in a confidential and discrete manner.
• Ability to challenge the status quo, think beyond the role and act upon opportunities to work more effectively.

Minimum Requirements:
• Proven track record as a Senior Administrator supporting senior leaders.
• Ability to develop and follow processes.
• Good written and verbal communication skills in both English and Swedish.
• Knowledge of MS Office (Outlook, Word, PowerPoint, Excel), SharePoint and web-based systems.

Prior experience of working in a Pharmaceutical/ Drug Development environment is preferred.
