As the Office Manager of the Stockholm office you are the calling card of our office for our guests, primos and suppliers. With your positive mindset and the "I can do" mentality you are the contact person for our Primos (colleagues) in the Stockholm office. You are responsible for managing all consumer questions, office disruptions, facility requests and reservations. You monitor the office supplies. You lend a helping hand to all departments when needed. You do all this in a dynamic, challenging and informal working environment.

About the role
• Welcome our visitors, take incoming calls, organize mailings.
• Help keeping the kitchen area & bar neat and clean and managing the kitchen area & bar stock such as soda 's, glassware, coffee mugs, coffee, fruit, cocktail supplies, etc.
• Manage facilities and equipment for the Stockholm office: stock management, stakeholder management, etc.
• Perform various administrative tasks for all teams such as office supplies, signatures collection, organization of team & office events etc.
• Support the HR team with employee benefits such as birthday gifts, Christmas Box, birthday cards, flowers etc.
• Back up for external consumer service, answering their questions, managing their requests through the organization.
• Coordinating postal services; picking up packages and mail coming in and distributing to the right employees, sending out commercial packages, send out mailings when needed, scanning incoming invoices for processing.
• Administrative tasks relating to facility management, creating PO 's, coding of invoices, managing P-card purchases.
• Help manage the cleaning services done by an external party
• Manage Office Budget
• Ad-hoc support to departments in need

Skills and experience needed to perform well in this role:
Business Skills
• Excellent MS tools knowledge (PowerPoint, Excel, Word, Outlook, Microsoft Teams, SAP)

Leadership Skills
• Communication & listening skills
• Excellent planning & organizational skills
• Ability to work under pressure and meet target deadlines
• Able to manage high volume workload Ability to manage priorities
• Good numerical and analytical skills

Functional Skills
• Good understanding of accounting processes and procedures (particularly budgeting and expense control)

Language skills
• English and Swedish must be proficient

Educational
• Above gymnasium
