Procera Networks is expanding in Sweden, and we are looking for an optimistic and energizing Office Administrator to help run our three offices. This service minded individual will be located at our European headquarters in Varberg and remotely run our offices in Malmö and Jönköping with frequent visits. Working closely with the HR Manager, the Office Administrator serves as the facilities coordinator and main point of contact to the Swedish offices for all employees and visitors. Success in this role means employees have what they need to be productive and comfortable at work - be it snacks, maintenance requests, office supplies, or fun social events. In addition to daily office coordination, the Office Administrator is in charge of planning and coordinating special events.

Job Requirements

• Coordinate all details of on-site meetings, including conference room preparation, catering, and computer equipment needs, etc.
• Maintain inventory, order, and stock supplies ? break room supplies and snacks, office supplies and promotional products
• Maintaining the condition of the office and arranging for necessary repairs
• Manage new and existing relationships with vendors and service providers
• Coordinate local training activities for internal employees and customer, both in Malmö and Varberg
• Plan semi-annual offsite events and other in house fun to promote a positive company culture
• Manage catering for in-house lunches as well as other in-office meals
• Maintain organization and cleanliness of common areas
• Assist with decorating our office space and setting up equipment
• Assisting in HR work (e.g. administration, recruitment, policies)
• Compile internal information and help update personnel policies on the intranet and the personnel database
• Travel between Varberg, Malmö and Jönköping to oversee their facilities management

As an Office Administrator you perform many ad hoc office tasks ensuring the office runs smoothly. This individual will travel to the office in Malmö and Jönköping bi-weekly.

Desired Skills and Experience

• At least 2 years' experience in an office services role, supporting multiple sites
• Experience coordinating with a global team
• Flexible to adapt to changing business needs
• Self starter, mature, responsible, accountable
• Excellent verbal and written communication skills in both Swedish and English
• Ability to interact professionally with internal and external partners
• Impeccable response time and ability to manage multiple tasks
• Great attitude and a willingness to get your hands dirty
• Highly organized and flexible
• Ability to multitask and meet changing deadlines
• Excellent MS Office skills
• Must be self directed and able to complete projects with limited supervision
• Working knowledge of email, scheduling, spreadsheets and presentation software
