hela Sverige The Strategy Directorate at the European Spallation Source (ESS) in Lund, Sweden invites applications for a Governance Officer position, in the Governance Office.
Description of division
The Governance Office works with ESS Council and its advisory bodies to
• Facilitate the governance decision making
• Sustain the ESS Members' trust in the Organisation's ability to deliver on its vision, mission, and goals, while making efficient use of the Organisation's resources for governance reporting.
Description of main responsibilities
Within the Governance Office and reporting to the Senior Governance Officer, the Governance Officer shall
• Ensure quality support to ESS advisory committees
• Act as Secretary for one or several advisory committees and to further develop them
• Provide support and guidance to ESS advisory committee chairs
• Support the further development of an efficient governance programme aligned with the stakeholders' expectations.
Responsibilities will include
a. Planning, preparation, and coordination of advisory committee meetings
• Scheduling
• Agenda setting
• Develop and distribute materials and presentations
• Organize dry runs
• Act as a liaison for committee members
b. Record keeping
• Draft minutes
• Assist ESS in preparing relevant documentation (focus on level of detail, consistency, and actions required) aligned with stakeholder expectations
• Store, maintain, and retrieve the advisory committees' documents / records
• Ensure confidentiality
c. Advisory, compliance, and quality assurance
• Voting procedure: secure quorum and the voting is properly and impartially tabulated and duly reported in the minutes
• Other services in respect to legal, regulatory, conduct of meeting and other matters during and outside of meetings
• Review documents prior to presentation to ensure quality, adequacy, consistency, dissemination, retention etc. - How would a third party view the documents?
• Ensure compliance with ESS objectives
Required qualifications:
Qualifications and Competencies
• Hold a masters degree
• Exhibit strong stakeholder focus
• Have proven supreme intercultural skills
• Be able to provide lateral leadership for distributed teams
• Understand the ESS project, vision and mission, and core values
• Have at least three years experience working for organizations with member state representation
• Demonstrate an 'executive presence' backed up with excellent communication skills in English
• Be able to understand the reporting that needs to be created, the level of detail it should contain, follow-up actions, consistency with prior records or conflicts with existing policies, etc.
• Be able to persuade also more senior colleagues to adopt innovative solutions
• Have an eye for detail
• Be resilient and work well under pressure
• Be able to accept and handle ambiguity
Experience of working in an international environment is essential. Excellent oral and written English skills are a prerequisite.

Duration & Location
The position is a fixed term position for 3 years.
Your work place will be situated in Lund, Sweden. The position is to be filled as soon as possible.
