Are you looking for a part-time job and have an enthusiasm about cars? Would you like to be a part of an interesting journey with versatile challenges in an international organization?
We at randstad are now, with our client, looking for a Fleet Administrative Coordinator to join our service team in their office in Solna. The position is part-time and temporary. We are searching for an administrative coordinator who can work around 50 % (2-3 days a week). The working hours are flexible, and we are open to discuss about your wishes in terms of the working days. The assignment starts as soon as possible.
The duration of the position is approximately 6 months, with the possibility of extension. This position is office-based, Solna.
The role involves management of the company's fleet of cars, including both our service cars (cars used in service at our wind turbine sites) and our company/benefit cars. At the moment, we have a collaboration with three different car leasing companies where you will be the main point of contact. In addition, you will be a contact for our company/benefit car drivers and site personnel when it comes to the service cars.
We are now in the process of renewing our routines relating to the Fleet Management where you will have the opportunity to be involved in an interesting project and come with your own ideas.
Responsibilities
• Acting as first point of contact for all Fleet enquiries
• Provide administrative and office duties relating to Fleet Management
• Maintaining an accurate record of our fleet of car
• Assist in the ordering process of new leasing cars or long-term rental cars
• Responsible of our existing car leasing contracts, to extend or initiate new contacts etc when needed
• Creating an information sheet, or if it is possible, webpage with general useful information connected to the company car fleet
• Update our Car Policy when needed
• Be an administrator in the car leasing portals and to create/update reports monthly
• Collaborate with local HR regarding reports to payroll (e.g. congestion tax, benefit values etc)
• Be updated in market conditions and news in the automotive field
• Provide and communicate information and material to drivers, as for example, how to order a car, how to report a damage to the insurance company etc.
• Managing fuel cards
Qualifications
• Be able to work around 50 % (2-3 days a week) at site, Solna.
• Able to communicate in English and preferably Swedish (not mandatory)
• Excellent communicative ability, both written and orally
• Good administrative and coordinating skills
• Good IT and Microsoft Office skills
• Ability to learn new systems and managing data
• Able to maintain a high level of accuracy and attention to detail
Desirable:
• Experience from the car/leasing industry
• Genuine interest in cars
