The International Institute for Democracy and Electoral Assistance - International IDEA is an intergovernmental organization that supports sustainable democracy worldwide. Its objective is to strengthen democratic institutions and processes. International IDEA acts as a catalyst for democracy building by providing knowledge resources, policy proposals and supporting democratic reforms in response to specific national requests. It works together with policy makers, governments, UN organizations and agencies and regional organizations engaged in the field of democracy building.

International IDEA's notable areas of expertise are: electoral processes, political parties, constitution-building processes, democracy and gender and democracy assessments. International IDEA works worldwide. It is based in Stockholm, Sweden, and has offices in Brussels, New York, Latin America, Africa and Asia.

Dina arbetsuppgifter
Main functions of the post:

The incumbent provides administrative, logistical and financing support, coordinates events, assists with the preparation of documents and maintains records and files.

Duties and Responsibilities:

Under the immediate supervision of the Senior Programme Manager, Electoral Processes, the incumbent performs the following duties:
• Processes invoices, project advance requests, project expenditure reports etc., ensuring compliance with International IDEA's Finance & Procurement rules and regulations;
• Provides support for planning, budgeting and financing and assists with expenditure control as per approved project cost centres, advising team members on possible cost saving measures;
• Prepares and supports the administration and performance management of Consultancy Contracts and Agreements for service providers and/or partner organizations in accordance with International IDEA's Procurement Policy;
• Organizes and coordinates logistical arrangements for meetings, conferences and workshops etc. (costing and booking venues, liaising with attendees, organizing travel etc.);
• Assists with the preparation of meeting materials and follow-up production of documents;
• Organises staff travel including cost control, travel advances, travel claims and other associated issues; when applicable, assists external consultants travelling on behalf of International IDEA;
• Assists with registration of internal/external communications and institutional documents, in liaison with the Archivist;
• Registers and verifies all personnel issues related to leave requests, in liaison with Human Resources;
• Assists with the update and maintenance of the Institute's internal website;
• Cooperates collaboratively with/assists staff on all levels in other thematic and/or regional programmes at International IDEA as required;
• Actively integrates the inclusion of a gender perspective in all activities; and
• Performs any other tasks as requested by the Director Global Programme.

Utbildning och erfarenhet
Level and type of formal education:
• High school diploma and preferably business and/or secretarial education; university background is considered an advantage.
• Formal training in accounting, business administration, finance, management, economics or related field.

Professional experience:
• Minimum of three (3) years of experience in progressively responsible administrative and financial work with the provision of programme support activities and with high level contacts;
• Logistical planning experience and organising travel and conferences is required;
• Experience in working in an international context.

• Discretion and tact in handling confidential information;
• Ability to operate effectively in a multicultural team;
• Excellent communication and presentation skills, written and spoken;
• Proven experience with web sources;
• Excellent interpersonal skills;
• Ability to work both independently, with minimum supervision, and within a team;
• High sense of responsibility, excellent at taking initiative and ability to prioritize based on the task itself and multitask;
• High level of service orientation and attention to detail;
• Ability to work under pressure and within tight deadlines.

Language skills:
• English: Excellent level of written and spoken English.
• Other: Any other widely spoken language in an International IDEA priority region would be an asset.

Computer skills:
• Excellent knowledge of Microsoft Office package (including Excel) and Microsoft Windows operating system in general (including Internet Explorer);
• Proficiency in working with computer and information management systems;
• Demonstrated competence in the use of spreadsheets, word processing and database programs;
• Knowledge of website design and development is an advantage.
