This is an Hourly paid position for 4 months during the summer of 2023!
For this role, we are looking for a master multi-tasker with excellent communication skills, who is keen to take on-board the task of leading the service and support side of the Digital World Water Week.
The Summer Assistant at World Water Week is a member of both the Logistics and Programme department. The primary task of the Summer Assistant is to support the World Water Week team in the running of the Digital part of World Water Week.
The Summer Assistant will report to the team-lead for Logistics.
Key responsibilities:
• Support to the logistics and programme team in the running of the Digital World Water Week. This involves supporting the planning and preparation of Digital World Water Week.
Pre World Water Week:
• Act as a liaison; with the platform supplier Trippus and their tech assistance team, with the communicating with auditors, the interpretation supplier (TBD); the hosting convenors and speakers.
• Organize trainings on the Digital platform together with the programme team and the Digital Events Manager as well as the platform supplier Trippus
• Prepare checklists and greenroom scripts
• Monitor the World Water Week inbox in general and specifically coordinate answers regarding the Digital World Water Week
• Assist in the recruitment of Assistants (Volunteers) to help run the Digital World Water Week
• Prepare scheduling and trainings for the Assistants (Volunteers)
During World Water Week:
• Act as a liaison; with the platform supplier Trippus and their tech assistance team, with the communicating with auditors, the interpretation supplier (TBD);
• Assist the hosting convenors and speakers with access to the platform and their session.
• Troubleshoot and report back any tech or security issues to the Logistics Manager and Programme Manager
• Manage the Assistants (Volunteers) during World Water Week.
• Be the point of contact for the World Water Week team on the Digital World Water Week.
Post- World Water Week:
• Summarize the Digital World Water Week and create a standard operating procedure (SOP) report
• Hand over outstanding issues to the team-lead for Logistics
• Other duties will be added to support the Programme and Logistics team in the run-up to World Water Week.

We are looking for someone who:
• Wants to learn about the planning and process of large hybrid events
• Can communicate and cooperate effectively with internal and external colleagues
• Has solid teamwork and interpersonal skills
• Can work independently, proactively and be self-sufficient
• Have experience with customer service
• Can learn new digital systems quickly with training
• Know how to write professional, customer service-oriented emails
• Speak and wright English fluently on a business level
• High school education or higher. It is meritorious if you have a background in event and marketing studies
Reporting to:
Team-Lead Logistics, World Water Week at SIWI
Type of employment:
Hourly paid position, minimum 30 hours/week for 4 months: 1 May - 31 August 2023.
