Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.

Task:
Responsible for the logistic management activities within the ECDC Fellowship Programme

* Receiving and prcessing incoming calls, mail and documentation
* Organize and coordinate appointments, telephone conferences, meetings and business trips
* Take minutes, prepare documents management (filing, scanning, typing, mailing, archiving)
* Respond to queries and request for information with a high level of service, tact, discretion and confidentiality
* Draft and finalize correspondence and other documents, taking notes at meetings
* Manage electronic and paper documents (contract lists, mailing, typing, photocopying, scanning, filing and archiving)
* Perform any other task assigned by the supervisor

You will get an employment as a consultant with Manpower. The assignment is to start as soon as possible until 28th of February with possible extension up to the total length of 12 months. The role is for full-time.

Competences and experience

These specific competences and experience are required for the current assignment:

* Excellent ability to communicate clearly and effectively in English language
* Good MS office skills
* Strong sense of service orientation
* Experience in organizing meetings
* Experience in giving high level support in sensitive area which require a very good sense of judgement and own responsibility
* Experience in dealing with procurement documents or procurement related documentation
* Proven experience as an administrative assistant/secretary, preferably in a multicultural environment
* Experience in organising meetings, preparing correspondence and other documents
* Excellent communication skills, both oral and written
* Ability to work independently as well as in a team
* Excellent organisational skills, high level of service attitude, discretion and confidentiality
* Post-secondary education
* Ability to work under pressure and experience in organizing work and prioritizing accordingly.
