Job Description

Perido is searching for a Secretary for our client, an independent and important agency of the European Union. The position is placed at their beautiful office nicely located in Stockholm.

In this assignment you will take on a broad and exciting role that offers an ever-changing workday. Here you will become the outward face and person for the agency, and you will be responsible for:

• Meeting organisation and logistical support: Prepare weekly Section meetings, prepare the budget, preparation of badges, coordinate the location and requirements of the meeting.
• On-site support: Assist and support the on-site delegates during meeting, coordinate interpreters and ensure technical services are in place. Ensure correct distribution of meeting materials, documents and reports.
• Administrative support: Maintain the mailbox, maintain accurate list of speakers, files and contact lists.

To be successful in this role you must be service oriented and have a strong sense of tact, discretion and confidentiality. You have the ability to react quickly to unforeseen challenges while remaining calm under pressure, and be able to handle a lot of different assignment at the same time. Furthermore we believe that you enjoy building relationships and communicate with team members, colleagues and external resources, and that you have excellent skills in preparing meetings and handle a variation of different documents. Required qualifications

• Experience in providing general secretarial support to teams and colleagues
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent communication skills and ability to work independently as well as in a team
• Capacity to communicate clearly and effectively in the English language
• Experience in organising high-level meetings

Contract type and hours

Full time with start as soon as possible. Assignment until the end of June 2016 with a very high probability of being prolonged.
